Job Summary
The Operations Coordinator provides general administrative and operational support to the assigned office(s) in the following functions: mail and copy services, facilities upkeep and maintenance, purchasing, , and other general office services.
Key Responsibilities:
Operations
Act as the primary contact for receiving and processing office service requests including duplicating, scanning, mail services, binder production and other litigation support requests.
Utilize high-end equipment for tasks such as high-volume copying, labeling, and binding.
Perform basic maintenance and troubleshooting of office equipment including printers, copiers, and scanners.
Ensure all supply areas, including the kitchen areas, are appropriately stocked. Orders supplies as needed.
Serve as backup for reception and hospitality as needed.
Support the office administration team with project assistance as needed.
Maintains inventory of mailing supplies such as letterhead, printed envelopes, binders, toners, office supplies, FedEx boxes and USPS forms.
Performing a variety of clerical tasks, assisting manager on various projects and assignments, and processing routine mail.
Facilities
Act as the primary liaison with outside service providers and building maintenance to address office service requests.
Maintain responsibility for the overall appearance of conference rooms, visitor offices and common areas ensuring they are functional and upkept.
Setup conference rooms for events and meetings, including table and chair breakdowns and setups.
Handle building access and maintenance requests through property management team.
Coordinate the setup of new hire offices and workstations.
Qualifications
Knowledge, Skills and Abilities
Ability to organize and prioritize work in a dynamic and complex environment to meet deadlines and daily requirements.
Ability to evaluate situations and exercise the judgment necessary to rectify problems or escalate them in a timely manner.
Ability to work under pressure, meet deadlines, and remain calm while dealing with difficult situations and/or individuals.
Ability to identify, understand, and troubleshoot problems and use necessary resources to resolve them (tools, manuals/schematics, vendor phone support, etc.).
Ability to operate standard office equipment and department applications.
Ability to communicate clearly and effectively, both verbally and in writing, with peers, management, contractors, and vendors.
Ability to work with minimal supervision, follow detailed instructions, handle multiple tasks simultaneously, and maintain accurate and detailed records.
Visual acuity sufficient to permit performance of job functions enumerated above.
Ability to lift, move and carry items weighing up to 80 lbs.
Education
The position requires a High School Diploma or equivalent.
Experience
The position requires a minimum of three (3) years of increasingly responsible, directly related office services experience, during which knowledge, skills, and abilities were demonstrated.

Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. The salary for this position is $56,000 – $73,500. Additional compensation may include a discretionary bonus.
