Under the direction of a Principal, perform a variety of secretarial and administrative assistant duties to relieve the Principal of administrative and clerical detail; plan, coordinate and organize office activities and coordinate flow of communications, correspondence and information for the administrator.
EDUCATION & EXPERIENCE
Any combination equivalent to sufficient experience, training and/or education to demonstrate the knowledge and abilities listed above. Typically, this would be gained through: graduation from high school and three years secretarial experience involving frequent public contact and primary support for a school administrator.
LICENSES &OTHER REQUIREMENTS
Some positions in this classification may require First Aid and CPR certification issued by an authorized agency.
Some positions in this class may be required to translate oral and written communications between English and a designated second language.
DISTINGUISHING CHARACTERISTICS
The School Administrative Assistant I classification provides primary secretarial support to the Principal of an assigned elementary school. Incumbents relieve the administrator of administrative detail and coordinate office activities and flow of communications and information. The School Administrative Assistant II classification performs secretarial and administrative assistant duties in support of a Principal of a school with K-8 programs or an alternative secondary school. Incumbents provide support for larger and more complex office operations. The School Administrative Assistant III provides administrative support to the Principal of a middle school or comprehensive high school. Incumbents perform the most complex duties in the series and the classification requires thorough knowledge of high school organization, operations, policies and procedures.
TESTING INFORMATION
The examination process may be comprised of multiple choice exam, performance assessment, computer skills exam, or any combination of assessment appropriate to determine technical ability to perform the duties listed in the job description.
Step 1: Application Screening (pass/fail) Applications will be screened for minimum qualifications. Applications will be evaluated and ranked according to criteria that most closely meets the needs of the department, so it is essential that applicants provide as much detail as possible and answer all parts of the application, including work experience and the supplemental questionnaire. If there is a high number of qualified applicants, a comparative screening will be conducted to determine which of the applicants will be selected for invitation to the performance examination.
Applicants meeting the minimum qualifications for the position will be emailed an examination pass. Exam passes will not be sent until after the closing date for the position. A photo ID and the examination pass are required for admittance to the exam.
Step 2: Performance Exam (weighted 50%) tentatively scheduled on July 26, 2024. Applicants will be required to work through exercises using Microsoft Office, Word, Google Suite and Excel, which simulate the type of documents a School Administrative Assistant I is expected to use to perform day to day documentation. Applicants must pass the computer skills examination to move forward to the next step, (qualifications appraisal interview).
Step 3: Qualification Appraisal Interview (weighted 50%) tentatively scheduled August 1, 2024.
All applicants must achieve a passing score in each part of the examination process in order to be placed on the eligibility list.
ADDITIONAL SALARY INFORMATION
New Hires – Initial Salary Placement
The District has established criteria in place that recognizes the education and experience new employees bring to their role in supporting students and the services of the District. Upon approval of the Director of Classified Human Resources, a new employee may be provided with advanced step placement up to Step 5 based on the following criteria:
- Additional qualifying experience beyond that required for entry into the class (limited to no more than one step for each two years of experience related to the classification)
- Additional education at the college level beyond the educational requirements established for entry into the class (limited to no more than one step for each two years of education related to the position)
All new hires placed at Step 1 of the salary schedule will advance to Step 2 after successfully completing the six-month probationary period.
Longevity increments are offered based on years of service with the District: an additional 1.20% of base salary after completing 4 years of service, 4.10% at 9 years, 7.08% at 14 years, 10.15% at 19 years, 13.31% at 24 years, 16.46% at 29 years.
Promotional and/or transfer candidates will be placed at the appropriate step in accordance with established Personnel Commission Rules & Regulations.
Education Incentives
All active, regular classified employees are eligible for an education incentive if they possess a college degree above and beyond the stated minimum qualifications for their classification.
AA/AS = 2.50%
BA/BS = 4.00%
MA/MS = 5.00%
Ed.D./Ph.D/JD = 6.00%

GENERAL REQUIREMENTS (Upon Offer of Employment)
- Employment Verification: The Immigration Reform and Control Act requires that the District obtain documentation from every individual who is employed which verifies identity and authorizes his/her right to work in the United States.
- Individuals selected for employment are required to submit to a tuberculosis risk assessment, and, if risk factors are identified, would then be required to submit to a tuberculosis examination to determine freedom from tuberculosis.
- The District reserves the right to require a job related physical examination and satisfactory results from such an exam.
- Fingerprinting: State law requires that all employees be fingerprinted. AB1610 prohibits employment until the Department of Justice completes its obligations regarding the arrest and conviction information, and from employing a person who has been convicted of a violent or serious felony, as defined.
- All candidates with a conviction record for offenses other than minor traffic violations, must file a conviction record statement with their application. Such a conviction, or failure to report a record of convictions, may bar you from employment.
- Other: Eligibles will be required to provide a current DMV report and/or proof of auto insurance to the Classified Human Resources Department before being certified for a final selection interview for positions that require the employee to drive a district vehicle and/or hold a valid California driver's license.
