COMPANY OVERVIEW:
The locally owned, state-of-the-art facility is home to the Hagerstown Flying Boxcars baseball team of the Atlantic League of Professional Baseball, celebrating its 25th anniversary this year. The ownership of Downtown Baseball LLC., is dedicated to the revitalization of downtown Hagerstown and providing the community a place to live, work and play. The organization is looking for dedicated and hard-working individuals to join the Hagerstown team and be part of an amazing process in creating memories for all of Hagerstown. The Flying Boxcars will be utilizing Meritus Park as the community’s highest profile venue and most impactful events on a year-round basis. The multi-purpose venue will be host to a variety of events such as Baseball games, local and regional athletic competitions, concerts and Catered corporate and private functions.
POSITION SUMMARY:
We are currently seeking a creative, high energy and self-motivated Event Operations Manager (EOM) with a seasoned background. The EOM will report directly to the General Manager and Director of Food & Beverage. The EOM will coordinate with all departments on the planning and execution of all events at Meritus Park. The position is a challenging and rewarding role in which the EOM will utilize organizational and communication skills in planning and executing unique events. This position requires a high level of customer service skill, knowledge of event management, flexibility and professional approach.
RESPONSIBILITIES:
- Create and manage banquet event orders (BEOs), proposals and contracts in an efficient and timely manner
- Working with a diverse group of clients supporting events anywhere from 20 people to 5,000+ people. Assisting clients before, during, and after events
- Conduct ordering for event equipment rentals, as needed
- Become fully familiar with the policies and procedures associated with Food & Beverage, Operations, Ticketing and Retail information and be able to explain them clearly and concisely to internal and external clients and external service providers
- Coordinate with staff and external service providers during event set up, event hours and event breakdown.
- Help create and manage event timelines and budgets.
- Respond to emergencies or incidents associated with events or venues and help find quick solutions to problems that are in the best interest of customer service
- Manage and communicate specific details of event needs to all departments with an appropriate amount of time for scheduling of staff.
JOB QUALIFICATIONS:
At least two to three (2-3) years of event planning/execution experience.
· Prior experience with food and beverage/hospitality services is a must.
· Must be flexible and able to adjust within a fast-paced work environment with shifting deadlines and schedules.
· Proficiency in Microsoft Word, Excel and PowerPoint is preferred, Catering software experience preferred.
· Ability to work independently with strong prioritizing, organization and time management skills
· Keen sense of urgency while utilizing available resources to problem solve
· Excellent written and verbal communication skills
· Ability to maintain composure under pressure while multi-tasking and taking direction on multiple projects
· Exceptional attention to detail
· Strong work ethic
POSITION TYPE AND EXPECTED HOURS OF WORK:
This is a full-time exempt position. Ability to work a flexible schedule, including; extended hours, evenings, weekends, and holidays.
