Duties and Responsibilities
As an integral part of the President’s team, the Executive Assistant supports the President in executing key priorities and projects and manages the day-to-day operations of the Office of the President.
Under the direction of the President, the Executive Assistant will:
Act as an intermediary between the President and various internal and external constituencies and stakeholders (faculty, staff, students, etc.), and as a liaison to the President’s Cabinet and the University System of Maryland Chancellor’s office.
Serve as a back-up to and work closely with the President’s Scheduler to support high volume schedule, ensuring that all necessary logistical and travel arrangements are completed and all necessary briefing materials are provided in a timely manner.
Prepare briefings, agendas, reports, PowerPoint presentations, and other documents.
Attend meetings and prepare and maintain meeting notes.
Perform and track follow-up tasks from meetings and engagements as required.
Support Presidential decision-making by providing accurate, relevant and timely information.
Track strategic goals and handle special projects assigned by the President.
Manage the day-to-day operations of the office with maximum efficiency and outstanding customer service.
Coordinate workflow, prioritize and screen matters requiring the President’s attention.
Ensure timely approval of employee time records.
Supervise office staff.
Recruit and supervise student workers.
Review and track budget, purchasing, expense reconciliation, and other operational tasks.
Represent the Office of the President on university committees as required, with particular attention to signature events.
Draft and edit correspondence.
Maintain files and records.
Handle confidential and sensitive matters with the utmost discretion.
Perform other related duties as assigned
Minimum Qualifications
Education
High school diploma required. Bachelor’s degree preferred.
Experience
Eight years’ administrative experience to include experience supporting a CEO or other senior leader.
Office management experience or experience supervising employees.
Experience working in a higher education setting.
Knowledge Skills and Abilities
Superior organizational skills and ability to set priorities and respond quickly as priorities change.
Keen attention to detail.
Ability to thrive in a fast-paced environment.
Strong interpersonal skills with an ability to build good relationships with peers and to interact with senior administrators and diverse campus constituencies.
Excellent verbal and written communication skills and ability to collect and synthesize information and provide analysis and summary reports.
Must be a self-starter with initiative and ability to anticipate needs and act as a problem-solver.
Mature, seasoned professional
Good judgment, appropriate discretion and tact in handling sensitive matters and in interacting with students, staff, public officials and other constituencies.
High level of personal integrity.
Demonstrated commitment to excellence and ability to project a professional, polished image in representing the Office of the President.
High proficiency in Microsoft Office, including Word, Excel and PowerPoint, and various virtual meeting platforms.
