We are seeking a Project Assistant who is motivated by variety, is seeking a challenging environment for professional growth, and is interested in supporting large information technology projects for one of our clients, who an Investor-Owned Utility client headquartered in New Jersey.
The Project Assistant will be responsible for general project tasks on a multi-year, enterprise-wide IT program for a regulated utility client. The resource needs to be a self-starter with the ability to take initiative and see all tasks to competition in a fast-paced environment while working with a team led by a Program Manager and several Project Managers. Excellent communication and collaboration skills are essential. An understanding of the basic components of project management such as planning, scheduling, budgeting, and reporting, risk management, project coordination, time management, and documentation is needed.
Location : This position is located in Newark, NJ. Candidate must be local and able to go in the office daily.
Responsibilities:
Schedule, coordinate, document, and track action items
Track tasks to ensure deadlines are met and report on project status and budget performance
Write and organize project documents
Support personnel management as it relates to project onboarding, communication, tools and mentoring
Ordering equipment and software
Creating and tracking ServiceNow tickets
Coordinate work activities for the projects with guidance from the program manager
Gain an understanding of the project’s overall business proposition and scope, goals/objectives, stakeholders, planned benefits and constraints
Ensure alignment of work activities with the project management plan
Work with project team to understand and track project financials following the PMO Financial Management processes and controls
Build relationships and work with key stakeholders to gather in-scope application information
Prepare status reports as requested
Schedule, facilitate and document project meetings
Understand project control gates designated by the PMO
Comply with all PMO standard processes and methods
Maintain a project artifact repository in the designated location throughout the life of the project for audit by the PMO
Requirements:
Bachelor’s degree (or equivalent) in relevant field. Additional years of experience may be considered in lieu of a degree
3+ years of experience in project coordination
Experience in coordinating teams and clients
Proven success in a corporate setting, working with all levels of management
Strong written, verbal, and presentation skills
Able to work independently and take initiative
Knowledge of ServiceNow
Hands-on experience with flowcharts, technical documentation, and schedules
Hands-on experience using PowerPoint, Excel, Visio, Word, Project, and SharePoint
Additional Preferred Qualifications and Skills:
Project Management training, experience, or certification
Scheduling and task tracking using MS Project, Oracle Primavera, Smartsheet or other project management tools
Basics of Agile methodology in project management
Utility experience is preferred
Position Details:
- Pay Rate / Range: $30-$39.85
The above salary range represents the range expected for the position; however, final salary offers are based on a number of factors such as the position’s responsibilities; the candidate’s experience, education, and skills; location; travel required; and current market conditions.
