Overview
This Office Assistant position supports the initiatives of the Office of Religious Life and the Chapel by offering administrative support to the Budget Manager and ORL staff. The Office Assistant must demonstrate excellent organizational skills; acute attention to detail including the ability to manage multiple tasks and meeting deadlines. Possess excellent oral and written communications skills and a professional demeanor. Demonstrate ability to work independently as well as with other staff members on special projects and events. Have discretion in dealing with confidential material.
This is a part-time, benefits eligible position.
Responsibilities
Assist the budget manager on the following:
Communicating with and onboarding new suppliers in the financial system, contacting suppliers to follow-up with the registration process, if needed.
Processing invoices, purchase orders and non-PO payments (honoraria and limited engagement payments).
Review and approve staff shopping carts in the Prime Marketplace
Tracking supplier payments and following-up with the Financial Service Center as necessary
Collecting expense receipts, helping prepare and substantiate expense reports in Concur for some staff and students
Update and maintain the Chapel collection and donation spreadsheet bi-weekly or monthly
Update and maintain other spreadsheets and reports
Qualifications
High School diploma or GED
Proficient in Excel, Outlook, MS Office & Google suite
Proficiency in University systems such as Concur, Prime Financials, SAFE or ASANA is preferred
