Harlem Children’s Zone (HCZ) — a world-renowned education and poverty-fighting organization based in New York — seeks a highly-driven, multi-talented Administrative Assistant, Communications to support the day-to-day activities of the Communications Team.?
The Administrative Assistant, Communications will join our Communications Team at the forefront of innovation at HCZ. The individual will possess excellent organization and scheduling skills, written and verbal communication abilities, and extensive knowledge of administrative and clerical procedures and processes.
Minimum Job Requirements
- Bachelor’s degree strongly preferred
- Experience working for a social impact organization, government institution, policymaker, or for-profit company with a social impact dimension
- Experience managing multiple calendars and changing meeting schedules
- Excellent project management skills; ability to handle and prioritize multiple tasks while maintaining attention to detail
- Expertise in developing and preparing presentations, reports, and correspondence
- Strong interpersonal skills
- Self-starter who is highly proactive and self-disciplined
- Resourcefulness, creativity, and strong problem-solving skills
- Deep commitment to understanding and addressing the challenges facing underserved communities of color

What you’ll do
Reporting to the Director, Communications, and Director, Content Production, you will support the efforts of the Communications Team. This includes:
- Schedule and organize film and photography shoots, interviews, and meetings
- Create meeting agendas and prepare presentation of materials for internal and external meetings
- Help organize and plan Communications Team events and support in planning organizational events
- Process invoices from different vendors, reimbursements, and other expense submissions and input in Coupa software
- Order and organize equipment and office supplies
- Help manage Brandfolder digital asset management system, including upkeep of asset naming and organization
- Take meeting notes
- Assist with email, phone messages, and responses
- Draft correspondence and other forms of communication
- Build and foster effective internal and external working relationships
- Perform other duties and projects as assigned

The annual salary range for this position is $47,000-$50,000 with a comprehensive benefits package including employer-covered health insurance.
