Overview | The School of Environmental and Biological Sciences, located on the George H. Cook Campus, is one of the largest schools of Rutgers University in New Brunswick, New Jersey. We pursue excellence in research, teaching, and outreach in areas of study that address the biological spectrum from molecules to ecosystems. Our emphasis is on both the fundamental sciences and the social and human dimensions. We offer 21 undergraduate majors, including plant and animal sciences, microbiology, biotechnology, agriculture and food systems, landscape architecture, food and nutritional sciences, ecology and evolution, marine science and oceanography, environmental sciences and meteorology, human ecology, entomology, and environmental economics.

Posting Summary | Rutgers, The State University of New Jersey, is seeking an Administrative Assistant for the School of Environmental and Biological Sciences. The position serves the Office of Academic Programs with support for advising, general responsibilities of the office, including front-line, nuanced student advising, record maintenance, financial aid, school event planning/coordination, and other duties as needed. The position requires knowledge of school policies/procedures, event planning, organization, and communication skills, as well as the ability to effectively interact with and provide services to students, faculty, staff, the general public, and other units within the University. The position requires dealing with confidential matters and an ability to deal with sensitive issues. The position reports to the Coordinator of Academic Services and Student Records for the Office of Academic Programs but will support the Assistant Dean for Transfer Students.
Among the key duties of the position are the following: - Supports all aspects of a large, complicated on-boarding process and year-long advising efforts for a large, growing, and complicated class of transfer students.
- Works under the guidance of the Assistant Dean for Transfers to coordinate and organize outreach to new transfer students from initial admission, admit-incoming, orientation and through the first semester, responding autonomously to all inquiries from students, parents, transfer advisors, and other stakeholders.
- Assists in coordinating contact with Undergraduate Program Directors, other faculty, and OAP advisors to ensure support at all transfer advising programs and support for students unable to attend an on-campus advising program.
- Supports the transfer credit evaluation process for transfer students as well as for continuing students completing coursework outside of Rutgers, overseeing the process of identifying, reviewing, evaluating, and routing transcripts for final approval by academic deans, and communicating outcomes to students and others.
- Provides limited supervision/oversight to other professionals and student workers in identifying and gathering transcripts, submitting them for evaluation through the RU Transfer system, troubleshooting problems with RU Transfer evaluations, and processing syllabus review requests to and from Academic departments.
- Provides administrative and logistical support to academic staff in the following areas: registration and scheduling, admissions and recruitment (first year and transfers), and processing of academic forms (i.e. withdrawals, change of major/class, senior worksheets, etc.).
- Provides administrative support and front-line response to all student inquiries about SEBS and Office of Academic Programs policies and procedures, provides appropriate referrals to SEBS departmental and University-wide offices, and ensures quality customer service interactions.
- Other duties as required for the efficient running of the Office of Academic Programs.
