Ensures patient charts are prepared prior to appointments/follow up and/or surgery including x-rays and pertinent lab work. Makes arrangements for any special equipment as needed. Reviews and codes charge slips for patient care services and/or surgical services rendered. Maintains files and records, including supporting documentation for insurance claims. Maintains master appointment/surgery calendar for physician(s). Oversees equipment and office supply inventory. Reads all incoming mail, prioritizing and distributing as appropriate. The Scheduling Coordinator acts as a liaison with other departments and physician office staff and arranges for all necessary support services and equipment needed for a case.
The scheduling coordinator is responsible for scheduling patient surgeries for the Department of Neurosurgery. Incumbent is responsible for communicating, utilizing the computer system to access and enter patient data, and providing clerical functions for the department. Verifies patient insurance and pre-certifies patient's scheduled surgeries. Maintains accurate surgery schedule on department calendar as well as each individual surgeon's calendar. Ensures appropriate preoperative testing, and collects all pertinent reports for review by licensed personnel to proceed with surgery. Ensure necessary imaging is available and on location for surgeon at time of surgery. Schedules PACE appointments. Provides physician fee estimates to patients. Must work with any and every physician in the neurosurgery department. Other duties as assigned.
Essential Duties:
- Acts as the master surgical scheduler for all physicians in the practice.
- Ensures that all Neurosurgery O.R. (block and assigned) time is utilized efficiently and accordingly.
- Ensures that all special equipment required by the physician(s) pertaining to each surgical procedure is scheduled and obtained.
- Prepare all monthly surgery lists for the physicians and management.
- Maintain all files and records for all the surgical procedures.
- Obtain all authorizations pertaining to surgeries.
- Verifies patient insurance and pre-certifies patient’s scheduled surgeries.
- Provides physician fee estimates to patients.
- Facilitates outside patient transfers, or admissions from home or clinic.
- Provides clerical functions for the department.
- Performs other duties as assigned.
Required Qualifications:
- Req High school or equivalent
- Req Demonstrated interpersonal, communication and customer service skills.
- Req Skills in computer programs, Word, Excel, Powerpoint, Outlook, etc. required.
- Req Able to function independently and as a member of a team.
- Req Demonstrates excellent verbal and written communication skills.
Preferred Qualifications:
- Pref 1 year Experience in a health care setting
Required Licenses/Certifications:
- Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
The hourly rate range for this position is $22.00 - $34.18.
