As a Human Resources Administrative Assistant, you will be responsible for providing administrative support to the Human Resources team. You will handle details of a highly confidential nature, collect and prepare sensitive information for use in discussions, provide reporting and attend meetings with the organization’s staff.
WHAT YOU’LL BE DOING (% of Time)
Organize, schedule, assist in planning, agenda creation, setup and execution of HR meetings and events, including but not limited to travel arrangements, reserving meeting space, coordination of meals, and organizing activities. Document meeting minutes, track and communicate action items, and provide technical assistance for conferencing. Maintain HR company-wide objectives updates, and maintain HR intranet (updating announcements and contact list). Work with HR Leadership Team to build out quarterly checklists. (35%)
Manage calendars, schedule meetings, submit expense reports, create travel arrangements, and provide administrative support as required to members of the HR, Facilities Team and some support to coordinate with other Senior Leadership Team member’s schedules. (25%)
Maintain inventory and compile new hire packets and welcome gift bags. Provide branches with onboarding materials as requested. Order meals for new hire buddy lunches. Assist with planning new hire agendas including scheduling meetings and making travel arrangements (25%)
Maintain monthly HR Spending report, assist with annual budget planning, process invoices, and ensure accuracy, as well as making sure payments are made on time. Work with new vendors to gather W9 and EFT to establish account in SAP. (15%)
DESIRED SKILLS AND EXPERIENCE

- Bachelor’s degree or 2 years related work experience required.
- 2 years experience in supporting a fast-paced team and ideally within an HR department preferred.
- Proficient in Microsoft Suite, Smartsheet preferred.
- Attention to Detail: Ability to monitor and review work for accuracy, completeness and possess strong organization skills. Self-Management/Prioritization: Prioritizes tasks and activities based on the contribution they make to the department and company’s objectives. Ability to manage multiple projects and competing priorities and to set well-defined and realistic personal goals.
- Problem Solving: Identifies problems and opportunities for changes and implements solutions accordingly. Ability to identify options for solving a problem and evaluate the strengths and weaknesses.
