Lawrence Berkeley National Lab’s Earth & Environmental Sciences Division seeks a versatile Administrator for the National Alliance for Water Innovation (NAWI). This role is vital to NAWI, an Energy Innovation Hub addressing U.S. water security, led by Berkeley Lab and three other DOE national laboratories.
Supporting the Finance and Compliance Manager, the NAWI Administrator needs extensive administrative experience and team collaboration skills. Key attributes include excellent communication, strong organizational abilities, and a proactive approach to complex problem-solving.
The Administrator provides specialized administrative support, impacting NAWI's operations and image. Responsibilities include managing administrative activities for the Finance and Compliance Manager and the Compliance and Agreements Teams, using sound judgment and initiative. The role requires familiarity with NAWI projects and Berkeley Lab policies, independently triaging and planning tasks to ensure efficient operations.
What You Will Do:
- Support the Finance and Compliance Manager in compliance, agreements, property management, NAWI participants, COI management, export control, foreign entity approval, and financial team support.
- Coordinate NAWI agreements, including Alliance Agreements, MOUs, and NDAs.
- Manage property tracking, affiliates, export control, and agreements using institutional systems.
- Generate concise project reports by synthesizing data from various sources for leads or federal agencies.
- Collaborate with administrative staff to optimize administrative processes.
- Assist in developing and maintaining compliance procedures and resources for the NAWI Program.
- Work with the NAWI Sr. Administrator on administrative tasks, including webinars, meetings, workshops, conference booths, personnel activities, and travel coordination.
- Manage the NAWI Foreign Travel approval process for all participants.
- Assist the Finance and Compliance Manager to support a wide array of post-award activities, such as:
- Submit and track requisitions for subcontracts and service contracts. Ensure accurate submission of technical abstracts, reviews, progress reports, budget justifications, and other documentation per agency guidelines and deadlines.
- Triage administrative issues, determine and implement corrective actions, and develop administrative processes and procedures.
- Coordinate events and manage related travel. Develop schedules and oversee deliverables, including scientific presentations, posters, and media materials.
Additional Responsibilities as Needed:
- Travel for meetings, conferences, and booth management, including internationally.
- Handle special projects for senior management as assigned.
What is Required:
- BA/BS degree or equivalent experience desired, with 2-6 years of related experience or a combination of education and experience.
- Experience supporting senior management with administrative and project tasks.
- Excellent organizational skills.
- Ability to work well under pressure and tight deadlines.
- Sensitivity to diversity issues.
- Discretion with sensitive and confidential information.
- Ability to manage shifting priorities independently and effectively.
- Collaborative team player with strong interpersonal skills.
- Proficient in Google Suite and Microsoft Office (Word, Excel, PowerPoint).
- Strong oral and written communication skills.
- Excellent attention to detail.
- Familiarity with event coordination and document preparation.
- Valid driver’s license.
- Proficiency with PC software and rapid, accurate word processing, email, and spreadsheet management.
Desired Qualifications:
- Experience in a scientific, technology, or research environment.
- Familiarity with collaboration tools (e.g., Teamwork, Box, Zoom, Google Suite).
- Ability to assess and adopt new technology tools.
- Understanding of Earth and Environmental Sciences terminology.
- Knowledge of LBNL, DOE, and UC policies and procedures.
Notes:
- This is a full-time 3-year, term appointment with the possibility of extension or conversion to Career appointment based upon satisfactory job performance, continuing availability of funds and ongoing operational needs.
- This position is expected to pay $78,804-$96,324, which fits within the full salary range of $70,056-$118,236 for the A40.2. Salary for this position will be commensurate with the final candidate’s qualification and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group.

- This position is eligible for a hybrid work schedule - a combination of teleworking and performing work on site at Lawrence Berkeley National Lab, 1 Cyclotron Road, Berkeley, CA. Work schedules are dependent on business needs. Individuals working a hybrid schedule must reside within 150 miles of Berkeley Lab.
