General Description of the Position
The Administrative and Practicum Assistant is a full-time staff position. The Administrative and Practicum Assistant provides administrative support to the MSN Program Director and will be responsible for the practicum preceptor placement of graduate nursing students in consultation with Graduate Coordinators. The Administrative and Practicum Assistant will support the daily operations of the MSN program to ensure smooth and efficient running, facilitate students in their respective practicum sites, and serve as the direct contact between agencies and the MSN program. The position reports directly to the Chairperson of the Department of Nursing or designee to facilitate the MSN program’s operations and practicum experiences of students as defined by the curriculum of study.
Essential Functions & Required Knowledge, Skills and Abilities
Essential Functions The following are the functions essential to performing this job: 1. Analyzes routine operating practices and procedures and makes recommendations to ensure smooth and efficient office/unit operations. 2. Collects data and assists with rough drafts and final drafts of reports. 3. Assists supervisor in arranging appointments, meetings, and conferences as necessary. 4. Assists with the management of the office/unit budget as necessary. 5. Meets with and answers inquiries of employees and visitors as requested. 6. Directs and conducts special projects for supervisors that may involve issues of a sensitive or confidential nature. 7. Reviews correspondence and reports, determines the level of authority that can handle issues, and directs appropriate staff for completion. 8. Establishes tracking and monitoring systems and conducts follow-up to ensure effective resolution of matters. 9. Maintains and controls data and filing systems to ensure effective, accurate, and easily retrievable documentation of operations and project activities. 10. Establishes and maintains contacts with practicum agencies and practicum sites; 11. Assists students with practicum placements each semester for the MSN Program. 12. Maintains all agencies and practicum site contracts; 13. Ensures student compliance with all requirements for practicum placements. 14. Maintains data and assists in writing reports related to students and practicum agencies and sites. Required Knowledge, Skills, and Abilities The candidate must possess the following skills and abilities to perform essential functions with or without reasonable accommodations: 1. Knowledge of office operations, services, etc. 2. Knowledge of administrative support practices and procedures. 3. Intermediate to advanced knowledge of computer programs, including word processing, spreadsheets, graphics, and databases found in such products as Microsoft Office® 4. Intermediate to advanced knowledge in social media platforms for the MSN programs management and development. 5. Working knowledge of data collection. 6. Ability to verify the accuracy of information, resolve discrepancies, and follow up on outstanding activities. 7. Ability to communicate effectively with employees, students, practicum agency personnel, and the public.
Qualification Standards
1. Education, training, and/or experience equivalent to a bachelor's degree. 2. At least three years of related work experience. 3. Preferences: Mastery of Microsoft Office® Suite and social media platforms.
