The Prince George's County Council is seeking qualified applicants to fill an Administrative Aide III vacancy, grade G17, in the Zoning Hearing Examiner division.
About the Position:
This is advanced-level secretarial/administrative type work designed ta relieve the Director of Finance of highly sensitive and confidential tasks. Working independently under general supervision, the incumbent performs varied and responsible bookkeeping work often of a technical nature and difficulty. The incumbent typically determines appropriate steps to independently complete assignments according to established procedures, referring to the Director when necessary.
About the Agency:
All legislative powers of the County are vested in the County Council. In addition, the County Council sits as the District Council on zoning and land use matters, and as the Board of Health on health policy matters.
Examples of Work
Performs highly responsible administrative support to the Office of the Zoning Hearing Examiner in direct support of the rezoning powers, duties, and functions of the District Council, including the following duties and responsibilities
Coordinates the receipt and processing of zoning cases and filing of quasi-judicial decisions with the District Council in accordance with State and local legislative requirements and administrative law
Maintains calendars, schedules appointments, and makes travel and conference arrangements for Hearing Examiners and support personnel
Maintains a calendar of cases heard by the Examiner for disposition
Coordinates and procures services of a transcriptionist, as needed, for hearings and capital purchases by the Department
Develops or modifies forms and office procedures utilized for notice of processing of zoning cases for the Zoning Hearing Examiner and District Council
Coordinates subordinate staff’s workflow to support the processing of zoning cases as stated above
Researches and prepares special reports as requested by Zoning Hearing Examiners
Responds to inquiries and referrals from applicants and their attorneys, District Council members and staff, M-NCPPC staff and citizens regarding all the aspects of the zoning cases, and Office of Zoning Hearing Examiner functions
Maintains and orders office supplies
Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices
Tactfully, diplomatically, and courteously screens and interviews inquiries to the office, ensuring timely and accurate answers or referrals
Manages and coordinates the maintenance of the zoning case files and filing system and the office general correspondence filed, Zoning Hearing Examiner decision files by Zone or Special Exception requested, and Court Opinion case files and index system
Qualifications
Must have experience in the Administrative Aide II level equal to the length of the probationary period OR
An associate's degree in Business Administration or Secretarial Science and one (1) year of secretarial/administrative experience which involved working with the public, office management and operational details
Any equivalent combination of relevant training, education and experience will also be accepted. Applicant must be proficient in typing where required.
Applicants who meet minimum qualifications must pass an administered Administrative Aide exam. Applicants who have previously taken the exam on or after 2/1/2023, and passed, will not be required to re-test; instead, previous test scores will be used to receive the passing disposition.
