Position Summary

The Virtual Urgent Care Front Office Back Office (FOBO) Medical Assistant is responsible for the front and back office duties of the 24/7 On Demand Virtual Urgent Care as assigned and/or supports clinical care team members with the delivery of patient care in accordance with Medical Assistant Scope of Practice while utilizing the five (5) Simply Better steps with every patient and team member interaction. The FOBO is responsible for driving the system-wide virtual care strategy at the patient level through excellent customer service, problem solving skills, and care navigation. MUST be available to pick up variable shifts (weekdays/weekends/1am-930am or 9:00am-5:30pm or 5pm-1:30am) and MUST have reliable wi-fi connection and must maintain a quiet and distraction-free area to conduct patient care.
Duties include but not limited to:
· Monitoring On Demand virtual urgent care patient queues and initiating registration/rooming process for all virtual and TytoCare visits.
· Assist TytoCare patients with MyChart activations.
· Miscellaneous downtime tasks to assist other departments (i.e. incomplete registration and eCheck-ins, etc.)
*Placement in the pay range is based on multiple factors including, but not limited to, relevant years 20 experience and qualifications. Experience
• One (1) year medical office and clinical experience in an ambulatory care environment preferred.
Education
• High School graduate or equivalent required.
• Certificate from Accredited Medical Assistant Program required.
• Phlebotomy Certification preferred.
• BLS for Healthcare Provider required.
Front Office Responsibilities
1. Greet and guide patients through the arrival, rooming and checkout process. Monitor and address
incoming patient calls and messages in a timely manner.
2. Maintain knowledge of insurance requirements including patient financial obligations.
3. Accurately verify patient registration data. Verify insurance eligibility prior to patient visit; and
inform patients of additional charges.
4. Demonstrate proficiency in computer management system. Knowledge of computer scheduling
functions, using proper registration protocols with all new patients, editing existing patient data
and utilizing proper visit types.
5. Confirm and/or reschedule all appointments as directed with the assistant of Artera text messaging
system.
6. Assist new patients with myChart eCheck-In process and collect appropriate ID and insurance
card(s). Monitor the multiple provider schedule for prolonged patient wait and notify appropriate
party (patient/provider/nurse) when extended waiting time occurs. Communicate any and all
delays to patients and offer alternatives when necessary. Notify management of patient issues.
7. Adhere to Simply Better methodology.
Back Office Responsibilities
1. Meet ambulatory Medical Assistant clinical competencies.
2. Perform clinical procedures under supervision of Provider or licensed nurse.
3. Be readily available to register and room patients upon scheduled appointment. Perform the
patient rooming process: connect to video/audio, interview patient and record vital signs.
4. Be responsive to communication/calls from providers, team members and other departments.
5. Maintain effective and organized systems to ensure timely patient flow and collaborate/partner
with various departments through the Health System and execute workflows that are channeled
through Virtual Urgent Care.
6. Provide instructions to patients as ordered/instructed by Provider.
7. Implement orders and treatment plan components as directed by Provider and licensed care team
member(s).
8. Complete assigned workqueues, inbasket messages and incoming encounters.
9. Ensure documentation is complete, accurate and timely; reflecting patients’ plan of care.
10. Implement a teaching plan with patient, family and/or caregiver(s) as necessary.
11. Demonstrates continued development of clinical expertise, current knowledge of healthcare trends,
and education related to clinical ambulatory practice.
12. Participate in processes that improve standards of care and practice in the delivery of ambulatory
clinical care.
13. Adhere to all organizational policies and procedures.
14. Perform any additional or miscellaneous duties as requested by the management team within the
scope of knowledge and ability.
