The duration of this assignment is approximately 7 months.
The Front Desk Coordinator is primarily responsible for representing the administrative team as the public face of the Clinical Research Center (s) and works closely with the administrative, clinical and management teams to support practice operations and customer service efforts. S/he provides support to all functions of the administrative teams including but not limited to: complex scheduling in adherence to research study protocol, registering patients, telephone inquires, APeX entries, scanning, filing, census reporting and reconciliation, and clinical research billing initiatives. The unit has a portfolio of approximately 200 active research studies, and the portfolio constantly changes as new clinical trials open and others close. The Front Desk Coordinator must become familiar with the active research studies in order to determine which resources are required for a protocol visit (potential multidisciplinary staffing, equipment & infrastructure) in order to determine the appropriate workflow and problem solve. The Front Desk Coordinator ensures that all protocol resources are available prior to scheduling appointments. The incumbent is also responsible for creating customized reservation forms and templates for new clinical research protocols. To do this, s/he reviews clinical research protocol documents, including the research budget service summary, MD orders, and the protocol Schedule of Events in order to determine the number of protocol visits and which resources are required for each visit. In addition to these duties, s/he will also serve as an ongoing resource to Study Coordinators regarding unit policies and practices. The Front Desk Coordinator is responsible for the maintenance of all routine administrative operations and communications. S/he adheres to departmental standards and is sensitive to the needs of patients, staff and providers at all times. The Front Desk Coordinator is a team player who works closely with others and who is flexible in dealing with the changing priorities. S/he is a self-reliant individual who synthesizes his/her knowledge of practice operations in order to problem-solve, prioritize and facilitate complex transactions in the course of his/her daily activities.
This position makes a difference for patients in an outpatient care unit by providing excellent customer service, facilitating and ensuring the accuracy of the information flow between medical, hospital staff and departments to maximize unit efficiency. The Front Desk Coordinator is required to work at any UCSF campus as needed and scheduled. This requires becoming familiar with the clinical research protocols and business operations at other research clinics.
The final salary and offer components are subject to additional approvals based on UC policy.
Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

- Demonstrated experience in health care in one of the following areas: clinical research, patient scheduling, or medial record data abstraction
- Experience with research administration and clinical trials.
- Ability to navigate through multiple patient records systems.
- Excellent customer service skills and proven ability to deal with a wide variety of individuals with sensitivity and diplomacy.
- Demonstrated knowledge of medical terminology.
- This position requires flexibility to orient and work at all UCSF Medical Center locations.
- Bachelor's degree in related area and / or equivalent experience / training.
- 1-3 years of related experience
- Ability to use sound judgment in responding to issues and concerns.
- Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
- Solid organizational skills and ability to multi-task with demanding timeframes.
- Working knowledge of common organization-specific and other computer application programs.
- Ability to use discretion and maintain confidentiality.
