Accounting Assistant- (Corporate Office |San Diego, CA) - (Hybrid) - Part Time

WHAT WE ARE LOOKING FOR:

Duties and responsibilities
Responsibilities include, but are not limited to, the following:
Accounting Administration
- Open, Scan Utility Bills and any Miscellaneous invoices.
- Assist in sorting incoming mail as necessary to ensure timely delivery.
- Ensure all copy projects are completed accurately and are returned to members of the accounting department within the allotted time frame.
- Liaison with vendors and other departments to ensure compliance.
- Sort and distribute preliminary and final management reports to accounting, controller, asset management and Executive Vice President.
- File journal entries, cash sheets, bank statements, and escrow deposit reconciliations
- Print and file MOR's and management reports.
- Mail owner packages in a timely manner. Prepare and track overnight packages.
- Ensure all approved AP invoices have been reviewed, approved, and checks have been cut and mailed.
- Copy and mail owner packages in a timely manner. Prepare and track overnight packages.
- Transfer all files from current year to new year. Audit and package bank statements and reconciliations, management reports, cash reports, escrow reconciliations, and all other files; send to storage. Maintain log and purge storage files when necessary.
- Assist as back up support for our vendor specialist in creating and setting up vendors for payment processing.
Communication
- Return calls and emails within 48 hours of receiving.
- Communicate and help fellow AP staff, ensuring all projects are complete and accurate.
Office Management
- Monitor supply needs, including breakroom supplies.
- Order supplies and items for special events; assist with special events.
- Maintain all filing systems, and rosters.
- Maintain department birthday and anniversary list.
All other duties as assigned.
