Under general supervision, an intern performs a variety of administrative work in support of a City department; participates and receives training in the municipal government programs by engaging in various research projects and studies, preparing reports, planning events, maintaining records; and performs other related duties as assigned.
SUPERVISION RECEIVED AND EXERCISED:
Supervision is provided by the Department Head or their designee.
Essential Job Functions
Essential job functions may include, but are not limited to, the following: (These functions may not be present in all positions in this classification. Supports the department staff in its daily operations by providing reception/phone coverage, routes calls to appropriate City departments; responds to walk-ins, answers inquiries from public and staff, in person, email and/or on the phone; provides administrative and clerical assistance such as filing, maintaining logs, drafting correspondences, and other informational materials such as flyers or brochures; assists in data compilation and upkeep of records and files; coordinates and calendars meetings and planning of events; provides information regarding City services, policies, and procedures to the general public; performs research and prepares reports; and performs other related duties as assigned.
Qualification Guidelines
To qualify for this classification, an individual must possess any combination of experience and education that would likely produce the required knowledge and abilities, and enable the individual to successfully perform the essential job functions of the position. A typical combination is:
Education and/or Experience:
High School Graduate or G.E.D. equivalent. Must be enrolled in and attending or is within one year of having graduated from an accredited college or university, with course work in business administration, public administration, or coursework related to the assigned department. Some experience in office administration. Some experience in local government desired.
Knowledge of:Standard office procedures; principles and practices in public administration; methods of research, statistics, and data collection; and working knowledge of window-based computer word processing, spreadsheet, and other related programs.
Ability to:Understand the organization and various department operations; learn and adapt with computer programs/systems essential to function in the assigned department; operate standard office equipment; prepare written and oral reports and conduct business on behalf of the department; communicate clearly and effectively, both orally and in writing; and establish and maintain effective working relationships with department officials, co-workers, and the public.
Licenses and Certificates
Possession of a valid Class “C” California Driver’s License is required.
SELECTION PROCESS:
Applicants must complete an application online prior to the final filing date. Applications will be screened for qualifications, appropriate background, and only the most qualified will be invited to participate in the examination process. Successful candidates must achieve a minimum passing score in each of the test components. Applicants will be notified by e-mail as to the test date, time, and location. The examination process will include an oral interview weighted at 100%.
Candidates will be required to pass a City administered pre-employment physical and may be required to pass a thorough background investigation and polygraph examination as part of the selection process. Candidates who do not pass will be disqualified and removed from the eligibility list.
