Overview
HarperCollins Productions is the media division of one of the oldest and most celebrated American book publishers. This division is responsible for developing HarperCollins properties into multi-media brands (across tv, film, and digital). The studio project coordinator will support the HarperCollins Productions team in their media productions as well as assist in the day-to-day operation of the division.
This is a hybrid position based out of our New York office.
Responsibilities
This role has two main responsibilities: project coordination and production department administration.
Project Coordination Responsibilities:
Acts as liaison between distributors, studios, and HarperCollins Productions for project deliverables and communication.
Tracks and coordinates all project deliverables according to schedule, including scripts, storyboards, animation, music, etc.
Gathers notes and time estimates on all deliverables from all stakeholders and tracks them to ensure they are incorporated into the production process.
Helps organize assets and maintains working folder structure and archiving process for all assets.
Coordinates with vendors in regard to vendor setup, contracts, art tests, estimates, project materials, and invoices.
Ensures daily schedule is running according to plan--calling in for upcoming calls, writing and sending agendas and making adjustments as the day unfolds.
Takes notes during phone calls and sends follow-up summaries to attendees. Ensures action items are detailed from the meeting and followed up on.
Takes initiative to resolve project roadblocks and raises issues as needed to producers.
Production Department Coordination Responsibilities:
Creates presentations from materials provided for both internal meetings as well as external presentations.
Creates and submits all expense reports for the Head of Productions.
Acts as the point person with all external assistants at distributor/studios and partners for scheduling meetings.
Tracks and files department contracts and status reports.
Keeps internal file databases updated and accessible.
General administrative support of the Productions department as needed.
Qualifications
A minimum of one year of media production experience, including project coordination and administrative support to production executives
Team-oriented, works collaboratively across multiple groups
A passion for learning about the media and publishing business is essential
Very strong organizational skills and ability to proactively suggest new solutions and systems
Must be able to multi-task, prioritize, and work well under pressure to meet deadlines
Opportunity for creative input on a small and highly collaborative team
Strong proficiency with Microsoft Word, Excel, PowerPoint and/or Keynote, and Google Docs

The salary range for this position is $50,700-$53,000. We recognize that attracting the best talent is key to our strategy and success as a company.
