Position Summary: This position will support Project Managers throughout the project lifecycle (creation, budgeting, maintaining, invoicing, closeout/archival, etc.). Providing contractual, financial, and administrative support to several departments at the JMT’s Hunt Valley office. Project management and financial assistance related to contractual management including redistribution of contract and task funds, price proposals, task proposals, closeout letters, contract agreements, compliance with each client’s contractual and financial requirements, subconsultant agreements, budget setup, invoice review, and subconsultants’ management. Providing project administrative support to project managers; providing database assistance; performing administrative duties such as editing outgoing correspondence, typing, copying, filing (mostly electronic), report preparation, and helping maintain project documentation. The selected candidate will be required to work in our Hunt Valley, MD Office. Remote work is not available for this opportunity, at least for the first two years.
Essential Functions and Responsibilities
- Assist Project Managers in contract/project administration and management, which may include the following: preparation of pre-contractual and contractual documents, price proposals, fee/task proposals, funds reallocation requests, and other project-related documentation for submission to clients
- Continuously track and monitor multiple contracts/projects and budgets
- Work closely with Project Managers and Accounting & Finance Department to communicate the status of action items
- Facilitate management and coordination of project subconsultants and in-house support disciplines
- Create and track subconsultant agreements and contract renewals
Additional Functions and Responsibilities
- Create, edit and distribute conference/meeting notes
- Conduct daily tracking of project deliverables to ensure timely processing
- Perform other related duties as assigned
Required Experience
- High School Diploma required
- 0-6 years of relevant experience required
- Associates Degree or a Four-Year Degree in Business Administration, Business Management or a related field is preferred
- Attention to detail with the ability to recognize discrepancies
- Ability to multitask and perform well in a fast-paced environment
- Ability to learn quickly
- Strong work ethic
- Ability to work independently, as well as part of a team
Working Conditions
Work is performed within a general office environment. Work is generally sedentary in nature but may require occasional standing and walking. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc. within the office environment. The selected candidate will be required to work in our Hunt Valley, MD Office. Remote work is not available for this opportunity in the first two years.
