The Office of Special Events & Protocol (OSEP), part of the University External Relations, is responsible for the production, design, and implementation of many of the university’s major public ceremonies and high-profile special events. This includes Commencement Weekend, Family Weekend, Convocation, high profile dignitary visits, and other special events hosted by the President and Provost’s office. OSEP also provides event management guidance for members of the Stanford community. The department advises about university event policies including protocol for special visits and also provides event planning education and training to Stanford faculty, staff, and students.
Position Summary: In this role, you will assist in the planning and execution of various Stanford events, such as Commencement, Family Weekend, Convocation, and other special events as assigned. These may be in-person, virtual or hybrid university-related events. You will support the lead project managers and the executive director as needed regarding overall logistics, including pre- and post-event evaluations. This position reports to the Executive Director.
In this role you will:
Serve as a member of an experienced events team and contribute to a wide variety of functional areas which may include event logistics, vendor proposals, budget support, and venue preparation.
Work directly with equipment vendors, caterers and other event service providers.
Help plan and arrange catering, equipment rentals, event venue diagrams, signage preparation and management, parking, and transportation, and various facility operations orders.
Support the coordination of various volunteer teams and registration duties.
Support the planning of hybrid events which include Zoom webinars.
Support the planning process by scheduling meetings, drafting agendas, and reserving venues
Inspect and help prepare facilities to ensure they conform to event needs.
Demonstrate a commitment to promoting and supporting an environment of diversity and inclusion.
To be successful in this role, you will bring:
Associate degree and three years of relevant experience, or combination of education and relevant experience.
Previous events planning experience in a higher education environment is a plus.
Demonstrated success in supporting the planning of multi-faceted, ever changing, complex events.
Ability to work both independently and as part of a team.
Excellent interpersonal, communication, written, time management, and customer service skills.
Initiative, attention to detail, and organizational skills to juggle multiple tasks in a fast-paced environment.
Experience working in an Apple Mac environment.
Experience working with Microsoft Office Suite, Google Drive Platform, SLACK Communications, and Adobe Suite software.
Knowledge of, or willingness to learn, Adobe Illustrator and Social Tables to support event layouts and collateral material development.
Ability to work some nights and weekends as assigned.Ability to lift and move items up to 25 lbs.
You must have a valid driver’s license for operating an event golf cart.
The expected pay range for this position is $67,000-$83,000 per annum.
