RMA of NJ is looking for an experienced administrative assistant to work with our APP department and support our Manager of Nursing Education and Clinical Nurse Educator.
This position has responsibility and accountability for the following essential functions:
Function in the coordination, implementation, monitoring, and maintenance of IVIRMA RN Bootcamps and Orientation
Develop and maintain office files, nursing files, and other appropriate records
Manage the Department of Nursing Education folder and One Note account
Schedule meetings, send out meeting notices, and maintain the department calendar.
Take minutes during meetings relating to the IVIRMA Department of Nursing Education
Film/record all relevant lectures for the Department of Nursing Education and save appropriately
Coordinate necessary paperwork for preparing CEU Lectures and providing nurses their contact hours
Coordinating the CPG Committee meetings as a committee admin. This primarily involves supporting our CPG Committee by ensuring efficient operations, meticulous record-keeping, and timely dissemination of meeting minutes.
Work on special projects as needed
Prepare documents and reports as requested by Manager of Nursing Education and Clinical Nurse Educator
Compose written correspondence and materials; create and update all departmental forms, reports, statistical data, and other materials pertaining to the Department of Nursing Education
Upload, embed, organize, and manage all audio/visual lectures and materials
Document design and management for PDF content created by the Department of Nursing Education
Establish and maintain cooperative working relationships with other employees at RMANJ to facilitate carrying out instructions involving other departments, transmitting information accurately and tactfully
Initiate, process and track departmental forms such as purchase orders, supply requisitions, printing requests.
Manage distribution of all incoming and outgoing mail; screen and respond as necessary. Assemble attachments and corresponding material. Review outgoing material for completeness, dates, and signatures.
Ability to use independent judgment and discretion.
Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe manner and with minimal supervision.
Detailed-oriented with skills in proofreading materials and data entry to ensure accuracy
Utilize computerized data entry equipment and various word processing, spreadsheet and file maintenance programs to enter, store and/or retrieve information as requested or otherwise necessary, and summarizes data in preparation of standardized reports
Ability to identify what information is needed by others for effective actions
Ability to deal with other RMANJ employees in a tactful and courteous manner.
Ability to devise or adopt office procedures to changing organizational needs
Ability to establish and maintain effective working relationships internally and externally.
APP Department:
Support the APP Department as an organized and proactive administrative assistant.
Maintains accurate records and documentation for APP departmental activities.
Act as a liaison for RMA with Universities for the purpose of scheduling NP/PA student clinicals.
