Position Summary | Gettysburg College, in historic Gettysburg, Pennsylvania, is seeking a dynamic and innovative individual who has a strong administrative and collaborative background to serve in this full-time position as the Executive Assistant to the Provost.
The Executive Assistant provides administrative, programmatic, and technical support to the Provost and the operations of the Provost’s Office. Responsibilities of this position include, but are not limited to: provide administrative support and calendar management to the Provost and the Director of Academic Operations, Finance, and Communications; process incoming correspondence, digital and print; draft, edit, proofread, and prepare correspondence and other materials for the Provost, including those associated with tenure, pre-tenure, promotion, and leaves; support the Faculty Personnel Committee in preparing and maintaining materials associated with committee processes; support the Faculty Finance and Faculty Council as needed; support Faculty meetings, including yearly meeting schedule and space setup, posting agenda, tracking and posting of minutes; serve as Record Retention Coordinator for all office files and records, including annual review of files, assembling and tracking materials sent to archives; and coordinates Provost’s travel and itineraries.

Qualifications | Bachelor’s degree preferred. Significant higher level administrative support experience preferred. (5-8 years). Previous experience in a higher education setting is desired, but not required. Candidates must have knowledge of a variety of computer software application programs (word processing, spreadsheets, e-calendars, e-mail), electronic and manual file establishment and maintenance, general office principles and practices, and proper grammar usage.
The ideal candidate will also have the following demonstrated abilities: handle a variety of tasks simultaneously with consistent attention to detail; prioritize multiple work demands by synthesizing and organizing information; strong organizational skills, provide excellent customer service; handle confidential information in the appropriate manner; maintain a high level of accuracy in written and verbal communications; effectively problem solve a variety of circumstances in a high-intensity environment; be flexible with changing needs of the office; ability to work as part of a team while maintaining autonomy; learn new computer software applications with ease; support the work of faculty and staff in the academic division; work with high volumes of electronic mail in an efficient manner; occasionally work overtime and weekends; and accept constructive feedback in order to improve. The successful candidate must have the ability to operate with discretion and diplomacy in a high-paced office.
