Job Overview
The Administrative Assistant serves as the first point of contact for the Office of the Vice President for Student Affairs, greeting all walk-in traffic, answering phone calls, managing administrative processes, and providing customer service for a variety of functional areas.
They serve as a primary (and often first) representative for the Office, and provide a crucial link to the Student Affairs staff, University administrators and their staff, and other individuals and entities, both internal and external to the University.
Primary responsibilities include but are not limited to front desk and office management, reception of Office of Student Conduct investigator inquiries, facilities and supply management, general oversight of student employees, space reservation management, event support, and administrative support for the Office, including creating expense reports, travel arrangements, ordering and maintaining office supplies, and related activities.
Work Interactions
Reporting to the Administrative Officer, the Administrative Assistant provides the full range of administrative support to the Office of the Vice President for Student Affairs and communicates daily with University executives, administrators, program directors, faculty, students and division-wide staff; and engages with alumni, donors, prospective donors, parents, and invited guests; and gives direction to student employees.
Requirements and Qualifications
- High School diploma
- 2 to 4 years of experience in a professional office environment or equivalent combination of education and work experience
- Ability to prioritize work with strong attention to detail
- Ability to efficiently and broadly support the Office of the Vice President and to relate appropriately with multiple constituencies
- Good working knowledge of PC operation
- Excellent organizational skills, combined with strong communication and writing skills
- Demonstrated flexibility in a dynamic work environment
- Familiarity with Google and Microsoft Office suites
- Excellent interpersonal skills
- Ability to handle sensitive and/or confidential information, situations, and interactions
- Ability to perform light-to-moderate physical activity
Preferred Qualifications
- Familiarity with GMS/Workday
- Familiarity with WordPress
