DUAL CERTIFICATION OPPORTUNITY
To fill a current vacancy at DeAnza Academy of Technology and the Arts, 8 hours per day, Secondary Clerical Calendar, and to establish an eligibility list to fill future vacancies. The established eligibility list will remain in effect for one year.

Under the direction of the Middle or High School Principal, perform a variety of highly skilled and complex secretarial and administrative assistant duties to relieve the Principal of administrative and clerical detail; plan, coordinate and organize office activities and coordinate flow of communications, correspondence and information in support of school operations and activities.

DISTINGUISHING CHARACTERISTICS:

The School Administrative Assistant III provides administrative support to the Principal of a middle school or comprehensive high school. Incumbents perform the most complex duties in the series and the classification requires thorough knowledge of high school organization, operations, policies and procedures. The School Administrative Assistant I classification provides primary secretarial support to the Principal of an assigned elementary school. Incumbents relieve the administrator of administrative detail and coordinate office activities and flow of communications and information. The School Administrative Assistant II classification performs secretarial and administrative assistant duties in support of a Principal of a school with K-8 programs or an alternative secondary school. Incumbents provide support for larger and more complex office operations.

EDUCATION AND EXPERIENCE:

Any combination equivalent to sufficient experience, training and/or education to demonstrate the knowledge and abilities listed above. Typically, this would be gained through: graduation from high school and five years of clerical or secretarial experience involving frequent public contact and primary support for a school administrator.

LICENSES AND OTHER REQUIREMENTS:

Some positions in this classification may require First Aid and CPR certification issued by an authorized agency.

Some positions in this class may be required to translate oral and written communications between English and a designated second language.

TESTING INFORMATION:
The examination process may be comprised of a multiple choice exam, performance assessment, computer skills exam, or any combination of assessment appropriate to determine technical ability to perform the duties listed in the job description.

Step 1: Application Screening (pass/fail) Applications will be screened for minimum qualifications. Applications will be evaluated and ranked according to criteria that most closely meets the needs of the department, so it is essential that applicants provide as much detail as possible and answer all parts of the application, including work experience and the supplemental questionnaire. If there is a high number of qualified applicants, a comparative screening will be conducted to determine which of the applicants will be selected for invitation to the performance examination.

Results of the screening will be emailed. Applicants who pass the screening portion of the examination process will be given further instructions. Notifications will not be sent until after the closing date for the position. A photo ID is required for admittance to the exam.

Step 2: Performance Examination (weighted 50% ) tentatively scheduled on July 18, 2024. Applicants will work through an examination, which simulates the tasks a School Administrative Assistant III is expected to perform, and is designed to test organizational and decision making abilities. Microsoft Office Suite programs will be provided to complete the tasks. Make-up exams will not be scheduled.

Applicants must pass the performance examination to move forward to the next step.

Step 3: Qualifications Appraisal Interview (weighted 50%) tentatively scheduled on July 26, 2024. All applicants must achieve a passing score in each part of the examination process in order to be placed on the eligibility list.

ADDITIONAL SALARY INFORMATION

New Hires – Initial Salary Placement
The District has established criteria in place that recognizes the education and experience new employees bring to their role in supporting students and the services of the District. Upon approval of the Director of Classified Human Resources, a new employee may be provided with advanced step placement up to Step 5 based on the following criteria:

• Additional qualifying experience beyond that required for entry into the class (limited to no more than one step for each two years of experience related to the classification)
• Additional education at the college level beyond the educational requirements established for entry into the class (limited to no more than one step for each two years of education related to the position) To be considered for advanced salary placement upon hire transcripts and/or diploma must be provided

• Employment Verification: The Immigration Reform and Control Act requires that the District obtain documentation from every individual who is employed which verifies identity and authorizes his/her right to work in the United States.
• Individuals selected for employment are required to submit to a tuberculosis risk assessment, and, if risk factors are identified, would then be required to submit to a tuberculosis examination to determine freedom from tuberculosis.
• The District reserves the right to require a job related physical examination and satisfactory results from such an exam.
• Fingerprinting: State law requires that all employees be fingerprinted. AB1610 prohibits employment until the Department of Justice completes its obligations regarding the arrest and conviction information, and from employing a person who has been convicted of a violent or serious felony, as defined.
• All candidates with a conviction record for offenses other than minor traffic violations, must file a conviction record statement with their application. Such a conviction, or failure to report a record of convictions, may bar you from employment.
• Other: Eligibles will be required to provide a current DMV report and/or proof of auto insurance to the Classified Human Resources Department before being certified for a final selection interview for positions that require the employee to drive a district vehicle and/or hold a valid California driver's license.
