I. Prepare drafts; perform detailed copy editing and proofreading; research and create complex bibliographies in a variety of formats for Professor Levin's scientific books, peer-reviewed publications, annual reports, salary review, and conference documents. Create web page content for the Levin Lab (EEB) and HMEI's Center for BioComplexity websites. Format manuscripts according to publisher specifications (including reformatting and editing of graphics); oversee submission of papers to leading scholarly journals and books to academic publishers; act as a resource to Professor Levin’s colleagues at other institutions and Princeton staff on the preparation of manuscripts and the submission process. Prepare required documents and coordinate grant proposals for review by the grant manager using the ORCID/ScienCV system. Also prepare and submit grant progress reports. Draft goals for grants for various documents; assist authors with the correct way to cite grants. Prepare and submit detailed and highly confidential documents, for example, nominations of scientists to leading scientific organizations and for national and international prizes and awards.
II. Plan, organize, and oversee high-level scientific conferences, symposia, workshops, and meetings at Princeton University and at other locations in Princeton and out of state, as well as virtually. Arrange logistics for these events and serve as on-site manager at them. Logistics include, but are not limited to: creating event web pages and repositories for pre-event reading material; drafting and sending out invitations; working within a budget to negotiate and draw up contracts with hotels, restaurants, caterers, and travel agencies. Design and make agendas, lists and biographies of participants, and name tags. Responsible for post-event activities, including sending out follow-up materials, answering questions from participants, and processing requests for travel reimbursements.
III. Website Design, Creation, and Maintenance
Responsible for the design, creation, and regular updating of the content and look of the Levin Lab and Center for BioComplexity (HMEI) websites, including photo editing with Adobe Photoshop.
IV. Independently manage the operations of the Levin Lab, including but not limited to the following: assist Professor Levin with his teaching (e.,g. preparation of readings for courses and uploading them to learning management systems; ordering text books), his calendar and the scheduling of appointments; update the list and files of all his manuscripts in progress and the .pdf files of his publications; manage office space allocation for his graduate students, postdocs, and visitors; act as a resource for his lab members on variety of matters. Maintain the Levin Lab Library and bibliographic databases, including cataloging new books and the repair and preservation of older materials; keep library journal collection up-to-date. Order supplies; pay vendors; reconcile credit card and other expenses (travel reimbursements on Concur); arrange for facilities repairs. Assist visiting researchers with finding housing and general needs. Arrange for special seminars, including setting up schedules for speakers. Hire, train, and supervise work-study students for special projects. Other duties as assigned; for example, assist Professor Levin with faculty and postdoc searches.
