Position Objective: Provide services as a Management Analyst in support of the overall functions of the National Institute of Allergy and Infectious Diseases (NIAID) within the National Institutes of Health (NIH). To provide program operations support for the Office of the Director of the Therapeutics Research Program.
Duties and Responsibilities:
- Manage and maintain the calendars for TRP Office of the Director (OD) personnel (Director, Deputy Director, Associate Director, Program Manager), actively understanding priorities and proactively resolving meeting conflicts. Receives meeting requests and schedules as appropriate. 1
- Respond to requests from senior officials and staff for information from multiple sources; coordinate and assemble data to respond to inquiries from senior management.
- Assist in TRP OD portfolio tracking. 4
- Coordinate all activities for interviews related to new job applicants in TRP.
- Provide meeting coordination for TRP events (e.g., recurring internal staff meetings, applicable workshops, seminars, guest speakers and other related meetings); reserve meeting space and equipment; prepare and distribute agendas and meeting summaries or minutes as appropriate. 3
- Prepare and distribute documents and reference materials for meetings that includes recording key minutes, discussion decisions, and action items from meetings organized by TRP OD as requested; and centrally stores documents.
- Develop and maintain SharePoint portal sites for TRP; log attendance at SharePoint trainings.
- Assist in the collection, compilation, and distribution of relevant scientific literature.
- Assist federal staff with creation and updates to TRP Standard Operating Procedures (SOPs).
- Serve as back-up/alternate coordinator for the Clinical Science Review Committee (CSRC) meetings.
- Coordinate travel packages for the TRP Office of the Director (OD) personnel. 2
- Work products and documents related to coordinating a wide range of logistical activities supporting TRP operations. – Ad-Hoc
- Work products and documents related to assisting in the collection, compilation, and distribution of relevant scientific literature and related to the development and distribution of meeting materials (agendas, summaries, and/or minutes) for a variety of programmatic meetings. - Ad-Hoc
Basic Qualifications:
- Bachelor’s degree in Business Management and Administration or a related discipline.
- Experienced in travel planning, meeting coordination, executive level support, and meeting minutes/summary reports.
- Skilled in MS Office and SharePoint.
Minimum Qualifications:
- Ability to multi-task and pay close attention to detail.
- Excellent analytical, organizational and time management skills.
- Strong communication skills, both oral and written.
