We are recruiting a Contracts Administrator for a national organization. Our client is a leading engineering and technical consulting service provider. They offer a hybrid work schedule, competitive compensation, and a comprehensive benefits package, including Medical, Dental, Vision, Life, Commuter Benefits, Home Office, and Cell Phone Stipends, 401(k), Paid Holidays, and a Generous Paid Time Off Program. The Contracts Administrator will assist with tracking and coordinating the day-to-day administration of contracts and tasks. The role includes supporting project managers on various projects and assisting with contract proposals. This position may also involve helping to manage the team, handling invoices, leading document control, and assisting with project controls as needed. Pay range: $33-$40/hour DOE.
The ideal candidate will be motivated, energetic, detail-oriented, possess excellent communication skills, customer-oriented and task driven.
RESONSIBILITIES:
Track and coordinate daily contract administration and tasks, including preparing, analyzing, and tracking contract requirements.
Collaborate with external engineers and project managers throughout all project phases.
Support project managers with communications to ensure efficient group operations.
Prepare, proofread, format, and submit electronic and hard copy documents.
Assist with task orders, detailed budgets, change orders/contract modifications, and amendments.
Develop agendas and coordinate routine project meetings.
Develop and maintain project controls manual and project management plan.
Prepare monthly progress reports.
Respond to client and subconsultant invoice disputes or questions.
Maintain a document management system for all project-related documents and correspondence files.
Assist in budget development, resource loading, and leveling.
Assist with the preparation of qualification statements and proposals.
Coordinate subconsultant agreements, insurance, confidentiality statements, etc.
Review, manage, and analyze monthly invoices (internal and external).
Prepare and maintain tracking spreadsheets for project-related budgets.
Manage the Program Document Management System.
Perform other duties as assigned.
SKILLS & QUALIFICATIONS:
Associate degree in an administrative professional field or similar preferred.
8+ years of contract administration experience in the engineering industry, preferably in water or similar resources.
Strong interpersonal skills and ability to work effectively with diverse teams.
Exceptional attention to detail, organizational skills, and process management capabilities.
Good understanding of contracting methods and standards for professional and construction services.
Experience in administrating professional services and construction contracts in California.
Advanced skills in Microsoft Word, including document automation, formatting, and proofreading.
Proficiency in Microsoft Excel, PowerPoint, and Adobe/Bluebeam Revu.
Outstanding verbal and written communication skills.
Experience with Microsoft Teams, Procore, and/or other CM software systems desired.
Experience with Microsoft Project and Primavera P6 a plus.
Certified Associate in Project Management (CAPM) and/or Project Management Professional (PMP) certification preferred.
