| Job Description Summary: | The Office of Graduate and Postdoctoral Affairs (OGPA) works to advance graduate and postdoctoral programs and enhance the graduate student and postdoctoral fellow experience at the George Washington University. Its mission is to provide support to students, postdoctoral fellows, staff, and faculty engaging in graduate-level work and research by establishing and facilitating communication and cooperation among GW schools and colleges that support graduate education, and by guiding graduate students and postdocs to ensure academic success, professional growth, and wellness. Through these efforts, OGPA is committed to fostering a greater sense of community and connection for graduate students and postdoctoral fellows by creating engaging and valuable experiences.
The Office of Graduate Student Assistantships and Fellowships (OGSAF) is a centralized graduate student service office that educates prospective and current graduate students at the George Washington University about funding opportunities at the Master’s and PhD levels. OGSAF is responsible for facilitating the payments for and final approvals of all Graduate Assistantships at GW and administering the Graduate Teaching Assistantship Program for all new appointees. The office supports students with national competitions such as the Fulbright U.S. Student Program and international fellowship competitions such as Fulbright Hays DDRA and Boren. Additionally, the office also handles some special internal programs that award fellowships and outside funding for students who win national grants.
The Administrative Associate has two camps of responsibility. One half of the position provides administrative support to the Vice Provost for Graduate and Postdoctoral Affairs (VPGPA). The Administrative associate coordinates schedules and maintains calendar(s) for assigned staff, arranges meetings and appointments, records meeting notes, coordinates room reservations, and assists the VPGPA with other office duties as needed. The second half of the job is in service of OGSAF. Reporting to the Supervisor of OGSAF, the position supports the following OGSAF functions. Specific job duties within this role include but are not limited to advising graduate students on funding opportunities at GW, acting as the campus point of contact for graduate international fellowships such as Boren and Fulbright Hays, processing F8 hires for graduate student assistantships in Faculty Hire Application and Banner, applying tuition awards and health insurance subsidies to student accounts in Banner, and corresponding with university departmental contacts to ensure that requests about these processes are handled in an organized and timely manner.
Duties and Responsibilities
Administrative Tasks for OGSAF - Vet and code F8 positions
- Maintain a list of updates to be shared in student & staff newsletters
- Communicate with applicants about OGSAF awards, send reminders of upcoming deadlines, etc.

Student Services - Answer student questions in gradfell email
- Advise students in virtual meetings
Award Applications
- Manage Endowment applications on the OGSAF website
- Review and rank endowment applications
- Review Grad2Grad and AmeriCorps matching applications
- Participate in review committee sessions to select finalists.
International Fellowship Coordination (Boren, Fulbright-Hays DDRA, Fulbright for outgoing US students & incoming international students)
- Advise interested students on the opportunities available to them
- Coordinate application process and review
- Review applications and provide feedback
- Coordinate information sessions with representatives from DDRA and Boren
- Create fellowship application resources
- Facilitate funding
Policy Development for OGSAF & OGPA - Conduct research to inform new policy proposals
- Prepare drafts of new policies and update existing policies as needed
- Assist with policy-related correspondence across university departments and schools
Administrative Tasks – OGPA
- Scheduling for the Vice Provost, Graduate and Postdoctoral Affairs (VPGPA)
- Take notes for Council of Graduate Dean and other VPGPA meetings
- Conduct surveys of GW schools and other universities as needed
- Manage purchases and expense reports
- Coordinate travel
- Events planning & coordination
- Coordinate catering and venue for monthly postdoc socials
- Coordinate venues, catering, and budget for GPSAW and other events as needed
