Information Governance and Archives (ITSAR) Context
ITSAR protects the institutional memory of the WBG; we aspire to transform information governance across the entire lifecycle of information to foster transparency and accountability; and we illuminate World Bank history to enable effective and accountable WBG operations. ITSAR is responsible for: Management of Records Policy (including advisory services, policy compliance outreach and training, appraisal / retention schedules, and requirements for systems); providing records management support to World Bank Institutions and staff; off-site records center services; implementation of the World Bank Policy on Access to Information (ATI); crafting knowledge products and discovery tools that promote the history of the World Bank and the archival holdings; and the preservation and intellectual control required to maintain access to archival records.

Duties and Accountabilities
The successful candidate will be responsible for arrangement and description of WBG Archives holdings and the development, implementation, and maintenance of a comprehensive strategy for the preservation and management of audio-visual materials, including still images, motion pictures, video, and audio recordings in both analog and digital formats. This role involves crafting and regularly updating preservation policies to ensure the long-term safeguarding of these materials. The ideal candidate will possess a deep understanding of archival theory and practice, particularly as it pertains to audio-visual materials, be adept at employing innovative technologies and methodologies to enhance the archive's operations, and be proactive in advancing the archives' mission, adept at engaging with a variety of media formats, and committed to making archival content available, relevant, and meaningful.
Arrangement and Description
•Responsible for the arrangement and description of fonds held by the World Bank Group Archives. This includes creating hierarchical arrangements using functional analysis, and describing records according to the International Standard for Archival Description (ISAD(G)) and specific World Bank Group Archives rules.
•Process, arrange, describe, and make available analog and born digital records and support the development and implementation of the Digital Vault (Preservica).
•Perform detailed research on the organizational and functional history of World Bank departments, for the completion of administrative histories according to the International Standard on Archival Authority Records (ISAAR).
•Execute complex data searches and exports from the Archives’ business system to assist functional analysis and to determine the scope of the fonds.
•Enter archival arrangement and description data into the Archives’ business system and ensure accurate export of the data to the public web.
•Implements storage, protection and preservation plans by describing, classifying, developing and assigning metadata for complex electronic and analog information resources following guidelines. Contributes to continual updating, cataloging or profiling guidelines and framework.
•Support the Donated Materials program by communicating with former staff, accessioning records from private residences, processing and describing accessioned records, and creating and finalizing a Deed of Gift.
•Support the Access to Information (ATI) team through regular updates on arrangement and description and knowledge product creation activities, participating in reference interviews, and helping to identify records responsive to researchers’ requests.
Management and oversight of the WBG Archives’ audio video collection
•Develop, implement, and upkeep a preservation and management strategy for still pictures, motion pictures, video and audio tape materials (analog and digital form).
•Oversee and maintain the WBG Archives multimedia site (AEM), ensuring it remains a robust and user-friendly resource.
•Collaborating with the Arrangement and Description Archivist, expand accessibility of AV collections, making them easily available to users.
•Prioritizing and selecting key audio-visual collections for digitization to make digital surrogates available online via the Multimedia site.
•Work closely with technical teams to integrate artificial intelligence solutions for the detection of sensitive content within the audio-visual collections, preparing them for secure publication on the Multimedia site.
•Managing the internal and external usage of collection images, handling requests for research, publication, and publicity in partnership with the Copyright team.
•Provide expertise around copyright and privacy as it applies to the use of archival media; applying standards and best practices to promote both the preservation of, and access to, these resources.
Archives Discovery tools
•Contribute to advancing the WBG Archives’ archival holdings in support of the research community and beyond through the creation and promotion of discovery products/platforms and other outreach engagements.
•Promote and memorialize events, celebrations, anniversaries, etc., in the Bank by responding to internal requests for archival and online resources; liaise with units to determine best way to use materials.
•Identify innovative methods to modernize and repurpose existing research and educational materials, ensuring they are accessible and relevant to contemporary audiences.
