Qualifications
Job Summary:
Reporting directly to the EVP of Publishing, the Executive Assistant provides administrative support to the EVP of Publishing as well as supports team initiatives across the Publishing division. The role serves as the primary point of contact for internal and external constituencies on all matters pertaining to the EVP of Publishing based out of Sega of America’s office in Irvine, CA.
Duties and Responsibilities:
Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
Manages and maintains schedules, including scheduling travel and conferences, making appointments, and arranging meetings and events.
Attends meetings & calls in the executive's absence; and supports the Executive by preparing agendas for meetings, provide minutes and note taking for meeting follows up.
Help organize team meetings / corporate functions across the Publishing division.
Welcomes guests by greeting them, in person or on the telephone, answering or directing inquiries.
Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; Prepares reports and presentations, collects, and analyzes information.
Manage personal contacts, document filing systems for retrieval of information & expense reports.
Works closely with other executives and administrative assistants at Sega offices located overseas.
Publishes a Publishing division newsletter by gathering information; preparing and editing articles; designing graphic presentation; producing and distributing.
Other duties as assigned.
Qualifications and Skills:
Bachelor’s degree in business administration, communication, marketing or related field
5-10+ years of experience in senior-level administrative support role
Excellent communication and interpersonal skills.
Strong research and problem-solving skills
Proficient in MS Word, Excel, Outlook, and PowerPoint.
Meticulous attention to detail
Ability to multitask and prioritize daily workload in a fast-paced organization.
Team player - have team-oriented experience and approach.
Discretion with personal and confidential information
