Job Overview
The Procurement Specialist contributes to the support of CGHPI operations and is responsible for working with University Procurement Managers for assisting in the sourcing strategy for the business units as well as customer invoicing.
They manage assigned supply bases and contract content, researches and resolves requisition-process issues.
Additionally, as a Cost Center Buyer, they provide support to the Cost Center Managers and Grant Administrators in all sourcing related tasks as necessary, and maintain accuracy in GMS and contribute to procurement performance within the overall procurement strategy.
Regarding Georgetown University procurement optimization, they drive improvements in efficiency and automation within the requisition to pay process and contribute to ongoing process improvements.
Duties include but are not limited to:
- Procurement transaction management - Accurate data entry and review of the following financial transactions for HQ: Requisitions, Purchase Orders, Expense Reports, Miscellaneous Supplier Invoice Requests, Accounting Journals, Revenue Generating Agreements, and check/cash deposits.
- Documentation management - Prepare documentation when needed for both sponsored and non-sponsored funds, to include expense reports, payroll and non-payroll journals and cost transfers.
- Compliance - On an ongoing basis, review the operating and financial policies to ensure compliance with guidelines provided by the Office of Internal Audit, Financial Affairs and the Board of Directors.
Work Interactions and Work Mode Designation
The Procurement Specialist reports to the Deputy Director of the Biomedical Graduate Research Organization (BGRO) Task Force, with a dotted reporting line to the CGHPI Director of Finance and Operations and to the GUMC Assistant Vice President for Global Health Operations.
As well, they routinely meet/interact with CGHPI program managers; work closely with the financial staff within CGHPI and GUMC; and interact with faculty and staff, supporting the financial operations of the CGHPI and the Global Health Institute (GHI).

Requirements and Qualifications
- Bachelor’s degree in any field
- At least 3 years of administrative experience [note: consideration will be given to an equivalent combination of education and experience]
- Detail orientation
- Proficiency in Microsoft Office, Workday, and other related software systems
- Strong interpersonal skills, and excellent verbal and written communication skills
- Ability to prioritize and perform multiple tasks simultaneously with little supervision
