Job Summary:
The Operations Enablement Specialist is responsible for driving operational efficiency and effectiveness within the organization by developing, implementing, and optimizing processes, systems, and training programs. This role requires a combination of strong analytical skills, project management capabilities, and the ability to effectively communicate and collaborate with cross-functional teams.

General Responsibilities:
Process Development and Optimization:
- Collaborates with cross-functional teams to analyze existing processes and identify areas for improvement.
- Develop and document standardized operating procedures (SOPs) to streamline operations and ensure consistency.
- Continuously monitor and evaluate processes to identify bottlenecks and implement optimization strategies.
Systems Implementation, Operation and Integration:
- Collaborates on the implementation of new systems or tools to support operational processes, ensuring alignment with organizational goals and requirements.
- Operates systems they are responsible for.
- Facilitate the integration of systems to improve data flow and interoperability across departments.
Performance Measurement and Analysis:
- Establish key performance indicators (KPIs) and metrics to measure the effectiveness of operational processes and systems.
- Monitor performance data and analyze trends to identify opportunities for improvement and inform decision-making.
- Prepare regular reports and presentations to communicate findings and recommendations to management and stakeholders.
Specific Responsibilities:
Tenure Recognition:
- Maintaining Tenure Records: Keep accurate records of Member and Chair tenure to ensure up-to-date information is available for a variety of reporting needs.
- Monthly Recognition: Organize and facilitate yearly recognition initiatives on a monthly basis for Chairs and Members. Works closely with IT, Events, SVPs, Chairs & BPCs, ELT/internal staff and vendors to select, source, coordinate, report, communicate and present awards for the following: Member tenure awards, Chair tenure awards, Chair performance awards.
- Coordinating Celebrations: Collaborate with Executive Assistants and Senior Vice Presidents to arrange celebrations or gifts marking significant milestones for higher-tenured Chairs.
- Recognition Letters and Campaigns: Fostering a culture of appreciation and support by creating recognition letters and email campaigns tailored to specific categories and programs which are aimed at motivating and retaining Chairs and Members.
Performance Program:
- Chair Performance System Support: Act as a liaison between staff and Chairs to assist in all aspects related to the Chair performance system.
- Chair Performance Program: Manage and maintain the Chair Performance Program, including overseeing related websites ensuring the programs integrity by addressing concerns Chairs may have.
- Legacy Recognition Awards: Collaborate with Senior Vice Presidents and International Partners to nominate individuals for annual Legacy-based recognition awards, highlighting contributions and achievements which has impacted their personal growth, peers, members, and the overall Vistage community.
- Communication and Dissemination: Work with various stakeholders to effectively communicate and disseminate information about annual performance and Legacy awards, ensuring that recognition efforts reach their intended audience.
- IT and Analytics Coordination: Monthly coordination with the IT and Analytics Department reviewing data accuracy within the Chair Performance System and reporting potential corrections.
- Speaker Awards: Collaborate with Speaker Relations and Customer Service Associates to manage the ordering and logistics of various annual Speaker Recognition Awards
Communications, Strategy & Analysis
- Chair Survey: Collaborates with Sr. Director of Operations to develop, communicate and analyze the bi-annual Chair Survey.
- As needed initiatives: Collaborates with Sr. Director of Operations to develop, maintain, communicate and analyze various initiatives that arise out of business needs.
Qualifications and Skills:
- Bachelor's degree in Business Administration, Operations Management, or related field.
- Proven experience in operations management, process improvement, or similar roles.
- Strong analytical and problem-solving skills, with the ability to identify root causes and develop solutions.
- Experience with project management methodologies and tools.
- Excellent communication and interpersonal skills, with the ability to effectively engage and influence stakeholders at all levels.
- Proficiency in Salesforce, Microsoft Office Suite and other relevant software applications.
- Detail-oriented with strong organizational and multitasking abilities.
Preferred Qualifications:
- Certification in project management (e.g., PMP, Prince2).
- Experience with Lean Six Sigma or other process improvement methodologies.
- Knowledge of enterprise resource planning (ERP) systems and business process management (BPM) tools.
- Previous experience in change management or stakeholder engagement roles.
TOTAL COMPENSATION RANGE
$67,000 Salary + Corporate Bonus (salary based in San Diego, CA)
