Composes correspondence and memos; creates presentations, spreadsheets, charts, forms and other documents as requested.
Researches and compiles data from various sources, generates special projects/reports/summaries. Report generation may involve analyzing statistics and preparing spreadsheets, databases or other documents
Proficient in the use of computer applications to complete documents/work assignments.
Reviews and edits materials as requested, ensuring final documents have correct grammer, spelling and punctuation.
- Communication and Record Maintenance
Prioritizes mail (this may include electronic mail), checks deadlines and independently initiates responses/action items or refers appropriately.
Prepares and processes outgoing mail within designated timeframe.
Facilitates communications with physicians and staff via memos, flyers, phone, etc.
Develops and maintains databases using computer applications (e.g., Word, Excel, Visio). Maintain record keeping systems to ensure efficient retrieval of documents.
Information and records are kept confidential per guidelines.
Completes department specific forms/records/data management (e.g., personnel records, timecards).
Supports department director in organization of the unit and workflow.

- Department Efficiency and Effectiveness
Maintains organized and orderly workspace.
Orders supplies, forms and equipment, maintain stock per guidelines.
Completes requisitions and obtains necessary authorizations.
Manages and operates equipment safely and accurately including obtaining supplies, troubleshooting and calling for maintenance (e.g., fax, copier, printer, and laptop).
Manages unit resources, e.g., keys, signage, badges, phones, parking permits, other-per guidelines and as assigned.
Coordinates programs for site for key card access to building and parking lots
Arranges for additional resources (temporary staff, volunteers) to cover vacations, leaves of absences, etc.
Coordinates office moves, space modifications, computer access, and other projects as assigned.
Contacts appropriate third parties regarding various building issues.
- Meeting Coordination
Schedules meetings and related resources (room, AV, food, etc.) and confirms participants.
Prepares agenda and attachments, attends and takes minutes for meetings as directed.
Coordinates schedule of designated individual(s) using appropriate computer application and ensures schedule is current and accurate without conflicts.
Schedules special functions, travel arrangements as directed.
- Problem Resolution
Manages and resolves complex situations involving, staff issues and physician needs as directed by department leadership.
- Other Duties
Collaborates with departments to coordinate dispersal of SHC Marketing gifts and provide list of employees to Marketing.
Coordinate physician and employee celebrations, organize events, etc.
Support project coordination as needed.
Knowledge, Skills, and Abilities- Must be proficient with Microsoft Office Suite (Outlook, Word, Excel, Powerpoint, Visio, etc.).
- Proficiency with Microsoft applications/tools is preferred (Teams, SharePoint, etc.)
- Advanced computer skills is preferred (pivot tables, graphs, charts, mail merge, etc.)
- Must be familiar with general office equipment (fax, copy machine, printers, phone systems, projectors, etc.)
