This position serves as an administrative assistant within the Election Training & Operations division for Fairfax County, the largest voting jurisdiction in Virginia and one of the 30 largest voting jurisdictions in the United States. Under the supervision of the Training & Operations Manager, plays a significant role to assist to prepare and execute training programs, research, and write policies and procedures, and administer operational programs in support of early voting, voting equipment, and election officer (poll worker) programs.
An ideal candidate will bring a blend of administrative acumen, technical skills, and general understanding of election procedures. You will work with the Training & Operations Manager, three office staff, and 15 trainers to train and prepare election officers for each election. You will be very involved in assisting with preparing all types of training materials. In addition, you will use your technology skills to assist in supporting many election operational activities, including tracking key information in election databases.

Job responsibilities include:
Assists to prepare and operate training programs for election officers, early voting staff, and voting equipment technicians (rovers).
Provides support as needed to cadre of trainers in conducting online classes and in-person classes.
Assists to prepare training materials, including slideshows, videos, quizzes, and handouts.
Assists with writing instructional manuals for election officers.
Assists in creating guides and handouts.
Assists to maintain and update election forms to be compliant with updated laws and procedures.
Uses technology skills to help improve election processes and operational activities.
Maintains and updates databases used by election administration staff.
Maintains and updates digital forms and surveys.
Maintains dashboards to track key election day data in real-time.
Organizes information from polling place surveys.
Prepares reports and presentations.
Routinely creates and shares reports tracking progress.
Supports shared technology resources used by election administration division.
Use Airtable database software to help manage, monitor, and improve all aspects of training and election operations.
As a member of the Office of Elections staff, participates in other activities related to election administration, voter registration, and voter outreach on an as-needed basis. A flexible schedule is required shortly before, during, and immediately after election day. Must be able to work some evenings and weekends near each election when training classes are scheduled. Work-from-home may be available for up to 2 days per week during non-election periods, but all work is in-person during at least the 60 days before each election.
Salary disclaimer: The selected applicant's starting salary will be in the minimum to midpoint range ($43,498.00 - $57,996.43) of the advertised compensation range. Promotional rules apply for current Fairfax County Government and Fairfax County Public Schools employees.

Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).
NECESSARY SPECIAL REQUIREMENTS: The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer.
CERTIFICATION:
Must be a registered voter in the state of Virginia or be able to become one within 30 days of employment.
PREFERRED QUALIFICATIONS:
At least one year of experience working in an elections office.
At least one year of experience managing or supporting training classes.
At least one year of experience coordinating operational activities.
Strong organizational and coordination skills.
Proficiency with Microsoft Word and Excel.
Experience maintaining and updating databases, preferably election databases.
PHYSICAL REQUIREMENTS: Duties require the ability to lift, move, and assemble files and documents. Position also requires ability to work extensive overtime hours under demanding conditions. Work is performed in a normal office environment. All duties performed with or without reasonable accommodations.
