The Receptionist for the CBU Counseling Center (CBUCC) fulfills the mission of the Counseling Center and the University by promoting a positive, supportive, and uplifting culture in the reception area, ensuring that clients and guests feel welcome while providing clerical and administrative support.
Essential Duties and Responsibilities
Other duties may be assigned.
Maintains confidentiality per the legal and ethical standards of the California Board of Behavioral Sciences (BBS) and California Association of Marriage and Family Therapists (CAMFT).
Promptly answers, screens, and responds to incoming calls, voicemails, emails, and appointment requests with timely responses and appropriate communication of inquiries.
Works collaboratively with the Secretary in scheduling clinicians, clients, and therapy rooms.
Promptly greets and facilitates clients’ paperwork for appointments, collecting payments, and ensuring the client is checked in a timely manner.
Provides prompt and thorough communication to clinicians and staff regarding scheduling updates and correspondence.
Understands and utilizes the CBU applications and the CBUCC Electronic Health Record and point of sale systems.
Assists in processing and communicating with the Secretary, clinicians, and appropriate staff regarding daily completion of Clinician Daily Worksheets, ensuring attendance, scheduling, and processing payments accordingly.
Assists in the maintenance and upkeep of the lobby, front office supplies, and clinical spaces.
Assists in receiving and distributing incoming mail and prepares outgoing mail.
Assists the Secretary in any additional front office tasks or projects as assigned by the Office Manager or provide support in the Secretary’s absence.
Works collaboratively with the Secretary and Office Manager for improving function, visibility, marketing, and systems for streamlining the CBUCC.
Supervisory Responsibilities
This position could be responsible for assigning work and/or giving direction to part-time student workers, in order to complete office work assignments.

PHYSICALDEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is regularly required to stand, walk, sit, and requires sufficient hand, arm, and finger dexterity to operate computer keyboard or other office equipment. Requires visual acuity to read words and numbers and speaking and hearing ability sufficient to communicate in person or over the phone. The employee must occasionally lift and/or move up to 15 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
WORKENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate. Work normally performed in a typical interior office work environment, with minimal exposure to health or safety hazards.
Education and/or Experience
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
