Basic Function | This critical role on the Center for Global Programs team requires an independent, poised professional able to thrive in a fast-paced, collaborative environment managing important and often sensitive matters. Reporting to the Director of the Center for Global Programs, this role will provide executive-level support to the Executive Director and Director, as well as auxiliary support to the Global Programs team.
This is an on-site campus based position. |
Essential Job Functions | - Provide front-line management of confidential, sensitive, and sometimes volatile phone calls; seek assistance from various offices and people to solve problems and provide consistent follow-up
- Design schedules and create a welcoming environment
- Manages processing purchase orders and payment requisitions, creates and analyzes monthly budget reports, and serves as the primary contact for campus partners and third-party vendors for all global learning opportunities overseen by the Center for Global Programs
- Creates assets to support daily operations, including queries, reports, spreadsheets, training documentation, presentation slides, handouts, and materials as needed for staff meetings and recording minutes; coordinates office calendar for all CfGP programming and initiatives
- Assist in the management and planning of Center for Global Programs events
- Maintain documents and records per office protocols
- Manages business expenses, travel, and other related issues that support the Executive Director, including completion of monthly purchase card reporting
- Recruit and provide supervision for student workers/volunteers
- Coordinate with various constituencies on campus that need support in executing initiatives

Minimum Qualifications | High school graduate or equivalent. A minimum of four years of relevant administrative assistance |
Preferred Qualifications | Bachelor’s degree; excellent phone etiquette, strong organizational skills, written communication, and editing skills. Must be able to maintain confidential information and manage sensitive documents and correspondence of significant complexity. Computer skills in Word, Excel, Web applications, and database programs. Familiarity with Google applications. Must be able to work independently as well as with a team depending on the work project, Must have a can-do attitude, and be a systems thinker in order to solve problems. Be able to manage stressful conversations and meet deadlines, attention to detail, and the ability to manage multiple priorities effectively. |
