Protective Lighting Coordinator
Examples of Duties
Under administrative direction, is responsible for planning and adminstering a specific project or program for a City department. Serves as the administrative supervisor on projects or programs. Plans, assigns, supervises, and reviews activities of subordinate personnel. Monitors the project or program's operating budget and assists in the annual preparation of same. Designs, implements, and monitors procedures utilized in program evaluation. Develops and secures commitments from other City departments and agencies to provide services to program participants. Provides technical assistance or reviews program policies and procedures. Maintains current information and oversees the preparation of project status reports. Prepares financial and narrative reports and program applications. Communicates project/program status and information to municipal officials and/or public and private entities. May supervise employees assigned to the respective project. Performs other related duties as required.
Minimum Qualifications
A High School Diploma or GED is required. A Bachelor's Degree from an accredited four year college or university in Business or Public Administration, Social Sciences, or closely related field preferred. Two (2) years of full-time, paid, progressively responsible experience in program administration is required. Must be able to lift and carry thirty (30) pounds. A valid State of Ohio Driver's License is required.

Primary Responsibilities
Point of contact for customers regarding protective lighting repair requests, field maintenance, inspections, upgrades, new installs and other protective lighting specific requests and/or concerns.
Manages repair escalations, customer account discrepancies, and addressee’s customer service issues Handles customer contract requests for protective lighting services, and coordinates with T&D inspectors to ensure requests are complete.
Creates customer accounts, issue field activities, update customer contacts, issue-billing requests and, manage repair requests in the billing system.
Initiates and manages requests for account adjustments though the billing and fiscal sections and, provides required field documentation for requests.
Takes lead in development of departmental processes, oversees protective lighting related projects, and creates and submits department reports.
Maintains contact with customers as repairs progress to ensure that they are provide updates on the status of repair requests.
Coordinates with internal repair departments to ensure that all repair requests are logged, tracked, monitored and completed in a timely manner.
Creates, issues and updates work order requests and, ensure that all work orders are addressed in a timely manner.
Performs reviews of trouble order system and, maintains department repair/issue resolution logs and database.
Presents reports defining issue progress, problems and possible solutions. Generates the necessary paperwork to initiate customer refunds and, updates customer on the status of refund requests.
Plays an active role in the planning, organization, and implementation of special programs, specific projects, or program changes. Assists with the drafting, review, tracking and management of departmental contracts, RFP’s, RFQ’s, RFI’s DO’s and PO’s.
Attends contract prebid meetings and, ensures that all department contracts meet divisional submission standards before final submission.
Acts as the backup manager to the street lighting department and, assist with street lighting related requests.
Performs other duties as assigned to assist the department including customer service, meter, billing and credit/collections

Preferred Requirements
Minimum of 5 years’ experience in an administrative or project coordinator role is preferred.
Minimum of 5 years’ experience in administrative coordinating, scheduling, customer service and planning is highly desired. Knowledge of internal office management systems including INFOR EAM, CC&B billing system, outage management/repair logs is preferred.
Previous contract management experience is preferred.
Excellent written, presentation and verbal communication skills. Knowledge of productivity tools, including Sharepoint and MS Access, PowerPoint, Word and Excel are preferred.
Good decision making and strategic planning skills are preferred.
