Maintenance Department Support Clerk

Reports To: Maintenance Office Manager
JOB DESCRIPTION
Position Summary:
The Maintenance Department Support Clerk coordinates service repair calls with maintenance team and maintains record of response, job status and completions in a timely manner. Keeps records of invoices and confirming service provided and price quoted.
General Duties and Responsibilities:
Answer calls and emails from stores and log request for repair
Arrange for the repair with field technicians
Review invoices and service orders; Ensures proper charge for labor and materials, including following up with pending repairs for payment
Complete maintenance department filing, i.e. repair orders and records on a weekly basis
Monitor repair completion progress and make sure open repair orders are completed and closed as quickly as possible.
Coordinate the rescheduling of additional needed repairs with obtaining approval first
Maintain inventory of parts
Schedule delivery of parts and follow up that parts were received or delivered
Assist in the inquiries re: the status of repair, and be as helpful as possible
Review each repair order for completeness and accuracy
Willingly attend department service meetings
Assist the department manager with ideas to keep expenses down within the department
Make sure the detailed story on the repair invoice is complete and every major item in the parts list is mentioned.
Dress as a professional everyday
Maintain a clean and organized work area
Be friendly and professional to vendors, customers and coworkers at all times
Provide work-in-progress updates to office manager weekly
Perform other duties as assigned
Knowledge and Skills
Bilingual (Spanish) – read, write, speak fluently

Monday through Friday 8:00 am – 5:00 pm, with some expectation of overtime, including Saturdays.
Sunday through Thursday 12 pm – 8:30 pm, with some expectation of overtime, including Saturdays.

High School diploma or GED equivalent
previous work experience related to service technician office support
Preferred parts knowledge of equipment used in grocery stores
