1. Receives written, phone and in-person requests for information from prospective graduate and undergraduate students and maintains database of all prospective students and applicants. Maintains regular contact with undergraduate prospects and applicants during the admissions process.
2. Meets with prospective students and/or their families. Schedules campus visit days in which students can shadow a current student, attend classes and take a private lesson from current faculty.3. Assists with area-specific recruitment and outreach events on campus and at local Catholic and public high schools. Maintains contact with representatives from high schools to aid in undergraduate recruitment. Travels to college fairs and high schools around the country. Attends Professional conferences such as the annual NACAC conference, and PACAC divisional conferences. Involves many weekend and after-hours events.4. At the request of the Dean and Associate Deans, is responsible for all logistics of audition days (for undergraduate and graduate students), including scheduling student auditions/interviews, acting as liaison with audition committees, assigning current students to meet with prospective students, etc. Available to speak with parents. Drafts all audition correspondence, including audition result letters. Maintains communication between both undergraduate Admissions and the Office of Graduate Admissions. Updates Target X communication for graduate students.
5. Maintains and updates all Acceptd pages and platforms. Update each cycle (meaning academic year) and liaise with area heads to maintain correct audition guidelines, keeps up with messaging and communication with prospective students on the site, and transfer all data to Admissions. Alerting audition committees of pending online auditions. Interviews, selects and trains around 20 current students as “Audition Ambassadors” to assist with audition days.
6. Manage social media and social media strategy
• Writes, edits, and manages social media related content.
• Edits and Manages web page related content.
• Launches and manages social media postings on Facebook, Twitter, YouTube, TikTok, Instagram, and LinkedIn
• Launches and manages social media campaigns.
• Manages and updates copy and photo edits of Rome School owned website pages in Cascade.
• Provides assistance to departments, faculty, staff and students in developing strategic social media and webpage plans; works closely with departments to ensure proper content and messaging executed online is relevant to organizational goals.
• Manages online discussions in a timely manner and crafts responses to all news or social media outlets.
• Assists departments with establishing consistency of communications across multiple networks.
• Works closely with Rome School and University marketing personnel.
• Helps guide student workers on all recruitment efforts and social media campaigns.
• Collaborates on social media initiatives with Catholic University’s Associate Director of Digital Marketing and Communications
7. Oversees and/or coordinates the collection, compilation, and analysis of online activity data; develops, writes, and presents comprehensive statistical and narrative reports.
8. Assists with CUA Open Houses, Odyssey Day, Focus on Music Day, Cardinal Preview Day and all other Admissions functions that involve the recruitment of Rome School students. Works weekends and after hours for events. Works with the Admissions Office on such events. Arranges for students to perform or speak with perspectives, creates student or faculty panels, and tours of the buildings.
9. Assists with the orientation of entering freshmen, helping them to complete their registration, including consent authorizations. Helps organize events during Freshmen Orientation. Coordinates the Buddy Program. Maintains any and all undergraduate placement exams, and coordinates with freshmen for all pre-arrival class registration. Calls each incoming freshman to discuss their first year at CUA, and assess appropriate course levels.
10. Supervises and manages office work-study students.11. Responsible for timed mailings to entering undergraduate students with registrations, orientation, and audition information. Organizes major bulk mailings, and smaller mailings for recruitment and marketing purposes. Works with Marketing and Communications on all efforts to generate and update recruitment materials. Assists in creating communications and marketing efforts to increase the School’s presence, enrollment, and audience numbers.
12. Creates bespoke Shadow Days for prospective students and liaises with parents, faculty, staff, admissions, and current students to arrange visits to campus. This includes trial lessons, observing classes, rehearsals, or shops, free tickets to performances and events, admissions tours, one-on-one time with Associate Deans or myself, and a booklet on where to eat at local places, where to stay in DC, and activities for while in DC.
13. Assists the Associate Dean of Graduate Studies as liaison with graduate admissions, enrollment services, and with the area heads regarding graduate applications.
14. Assists the Associate Dean of Undergraduate Studies with the maintenance of the database of scholarship awards to undergraduate students. Assist with the graduate scholarships process, as needed.
15. Creating recruitment materials including brochures, postcards, flyers, digital flyers, email content in Hootsuite, to be distributed at schools, events, etc.
16. Maintains budgeting for recruitment travel and any recruitment efforts. This includes all Admission-related events, program printing, travel, audition ambassador pay, giveaways, and promotional materials.
17. Assists on recruitment set-up, planning and purchasing for events (for ex., High School Drama Institute, planning for Arts Summer Institute) and other large-scale ensemble events) which promote recruitment. In conjunction with the Operations Coordinator, maintains budgeting for said events.
18. Acts as “Student Life Representative” within the School, facilitating student events and enhancing the community within the student body. Coordinates events throughout the year.
19. Assists the Dean and Associate Deans with transfer applications.
