  Additional Information: Show/Hide GENERAL RESPONSIBILITES The MSAP Project Secretary will provide support for the Magnet Program Director’s office, including facilitating written communication and handle telephone inquiries for the project staff. The Project Secretary will also maintain project records, materials for student recruitment, and maintenance of inventory of equipment purchased through project funds.
PERFORMANCE RESPONSIBILITIES
Monitor magnet budgets and submit budget revisions to the proper departments
Monitor and insure accuracy of purchase orders and invoices
Track equipment and supplies purchased with grant funds
Assist the Magnet Director and the Assistant Magnet Director with staff development preparation
Takes and transcribes messages for the Director of Magnet Program
Performs minor administrative matters requiring exercise of independent judgment
Facilitate written communications
Answer questions from parents related to the MSAP application process
Handle telephone inquiries for the grant staff
Maintain project records, including student applications, inquiries and other program related activities
Assist with preparing materials for student recruitment
Prepare and maintain materials for program promotion
Maintain an inventory of equipment purchased through project funds
Prepare purchase requisitions
Process payroll and stipend vouchers
Maintain committee meeting minutes
Assist with preparing periodic program reports
Assist with collecting data from schools
Attend all magnet conferences, hearings, and other meetings as instructed
Performs other duties as assigned
Qualifications: EDUCATION and/or EXPERIENCE High school education plus two years of responsible clerical or stenographic experience. College graduation with a Secretarial Science major may be substituted for typing experience. College training in Secretarial Science may be substituted on a year for year basis.
LANGUAGE SKILLS Ability to read, analyze, and interpret common magnet report and legal documents. Must possess interpersonal skills with the ability to respond to common inquiries or complaints from magnet administrators, lead teachers and the public. Must also be able to write and transcribe messages.
REASONING ABILITY Ability to interpret simple charts and graphs. Must respond positively to supervision and accept suggestions for improvement. Must have the ability to work under the pressure of deadlines, interruptions, and the ability to deal with other employees in such a way as to maintain goodwill and confidentiality. Must demonstrate sensitivity/understanding in interpersonal relations with persons of diverse cultures/backgrounds.
