Responsibilities include, but are not limited to:
Provide executive administrative support to multiple executives, which includes managing their calendars, scheduling, and de-conflicting appointments.
Administering a broad variety of tasks such as taking minutes at key meetings and tracking action items; coordinating weekly reports for input; preparing agendas, executive reports, and presentations.
Responsible for other administrative tasks to include organizing, coordinating, and managing meeting logistics and event support; ordering and coordinating catering; answering/prescreening phone calls; maintaining and placing orders for office supplies; monitoring executive email inboxes and highlight urgent requests or communications.
Arranging complex travel arrangements, itineraries, and agendas to include coordinating local domestic and international travel, completing expense reimbursement requests and travel authorizations.
Acting as a liaison to develop close working relationships with other departments such as Finance, HR, and Security partners and the executive’s direct reports.
Handling purchasing administration, which may include submission of purchase orders, requisitions, payment vouchers, managing and reconciling corporate credit card used for various expenses.
Job Qualifications:
High School Diploma and at least 8 years of executive support and/or administrative experience
Experience coordinating multiple executives’ calendars simultaneously.
Expert knowledge of Google and Microsoft Office Products; including Gmail, Microsoft Word, Excel, and PowerPoint.
Strong experience planning executive domestic and international travel.
Impeccable analytical, interpersonal, verbal, and written communication to skills.
Ability to perform and prioritize multiple tasks efficiently at any given time with excellent attention to detail and the ability to meet tight deadlines.
Proven ability to handle confidential information with the utmost discretion, integrity, and professionalism.

Physical Requirements:
Must be able to be in a stationary position 50% of the time.
Must be able to work in an office environment and communicate, converse, and exchange information with peers, senior personnel, and customers.
Must be able to effectively use IT peripherals such as laptop, desktop, printer, fax machine, etc.
