The current vacancy is in the City Clerk's office; however, candidates successfully completing the testing process will be placed on an eligibility list to fill future office assistant vacancies throughout the City.
Under general supervision, the Office Assistant II performs a wide variety of moderately difficult and routine clerical and typing tasks within established guidelines; and performs related duties as required.
While assigned to the City Clerk's office, the Office Assistant II would possess an extensive combination of experience working in a fast-paced environment handling customer inquiries, interaction with elected officials, attendance of council meetings twice a month (Wednesday evenings), applying analysis in situations and when preparing minutes, usage of technologies to timestamp videos, upload documents, updating webpages, navigating websites to conduct research, handling digital documents, and conduct other routine office duties including physical activity including some heavy lifting moving boxes, filing, and housekeeping. Additionally, the Office Assistant II in the City Clerk's office would participate with outreach efforts at events held on weekends.
The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results as well as:

QUALIFICATION GUIDELINES
EDUCATION AND EXPERIENCE Any combination of training and/or experience which provides the required knowledge, skills and abilities is qualifying. A typical way to meet the qualifications would be:
Graduation from high school or GED and
One year of office clerical work preferably including typing and contact with the public.
KNOWLEDGE, SKILLS, & ABILITIES Knowledge of modern office practices, methods and procedures; correct spelling, punctuation and grammatical usage; proper telephone and reception procedures and techniques; business correspondence; various office equipment such as a word processor, typewriter, and adding machine; personal computer software, such as word processing and spreadsheets.
Ability to type at a net rate of 45 words per minute; make arithmetic computations; transcribe dictation from notes and/or audio tape; handle difficult public contacts; work cooperatively with peers, superiors, and the public; applies confidentiality, courtesy and tact in a variety of public and staff contacts; operate modern office machines; follow oral and written direction. Bilingual skills in a variety of languages which include but are not limited to Spanish, Chinese, Japanese and/or Vietnamese are desirable.
At time of application, candidates must provide proof of ability to type at a net rate of 45 words per minute. Following is information and locations that provide typing certificates. No online typing certificates will be accepted. Candidates meeting the minimum qualifications will be invited to participate in a standardized multiple choice written exam. Additional test components may include a performance exam and oral interview.
SUPPLEMENTAL INFORMATION
Applicants with legal disabilities who require special testing arrangements must contact the Human Resources Department at least five (5) days prior to the examination date.
New hire candidates must show proof of full Covid vaccinations prior to being hired. Limited exemptions may apply.
Obtaining a Typing Certificate
Some of the City's positions require applicants to provide a typing certificate to demonstrate the minimum typing requirement. Certification may be in the form of a certificate, letter, or test results form that must clearly state the following:
1. Name of the issuing agency. Acceptable agencies are a government agency, an employment agency, a business college, an adult school, or a public school system.
2. Date of the typing test. The typing test must be dated within one year of the final filing date of the flyer.
3. Five minute timed test with net speed.
4. Applicant's name.
Certificates that do not include all the above information may disqualify the applicant from the selection process. Internet typing tests will not be accepted.
