Position Summary
This role will oversee the day-to-day duties of reception and floor admin support for the Santa Monica office. This includes meeting scheduling phone coverage office supply management pantry management events support printing and binding client presentations invoice processing and other tasks as assigned. This role will also provide back-up admin support for Managing Partners and other senior leaders as needed in Santa Monica.
Essential Job Functions
Oversight and support of a team of Receptionists, Floor Administrators, and temporary employees who provide support to the Santa Monica office and Guggenheim Investments senior leaders
Develop and maintain office management standards in the Santa Monica office including not limited to office service providers, Reception and Floor Admin roles, etc.
Ensure that GI Managing Partners’ business needs and expectations are prioritized and executed consistently and provide back-up administrative support as needed
Manage current office services vendors and introduce efficiency and innovation
Assist with planning and execution of in-office events or engagement activities, or special projects
Oversee internal processes such as conference scheduler, screening all mainline calls, client presentation printing and binding, document storage and shredding, catering requests, the pantry program, mail service, etc., and implement changes that best serve Guggenheim Investments
Develop Office Administration employees’ skills to foster professional growth and internal advancement
Use comprehensive knowledge of overall business function to assist in driving efficiencies across key business units and best adapt to changing business needs
Develop and maintain exceptional working relationships with internal teams and external stakeholders
Preferred Qualifications
Ability to effectively communicate and collaborate with diverse personalities in all levels of management, as well as outside vendors and clients, by maintaining objectivity and demonstrating maturity and a positive attitude
Professional phone and email etiquette
Ability to lift and move large deliveries up to 40 lbs.
Team oriented
Strong and consistent communicator with NY based manager
Willing to take on additional office management projects as needed
Basic Qualifications
Bachelor’s degree in with 3-5 years of supervisory experience in a corporate environment
Proficiency in Microsoft Office including Outlook and PowerPoint
Salary Details
Annual base salary between $80,000 to $85,000.
The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
