Job Summary: Working under the supervision of the Director, Philanthropy Operations and Prospect Management, the Assistant, Philanthropy Operations provides administrative support to the Philanthropy Operations Team as directed by the Director. The Assistant works in tandem with the Systems Information Specialist for day-to-day gift processing operations and ensuring data health and accuracy. The position also assists with prospect research operations, as well as duties associated with restricted special purpose fund management. Professional demeanor and polish necessary for occasional correspondence and management of confidential and sensitive information. Critical thinking is required to plan, prioritize and organize diversified workload. Assistant must be organized and able to independently manage responsibilities and deliverables. Job Essentials:
- Prepares gift batches for processing and reconciliation.
- Processes daily gift acknowledgment letters, including exporting from Raiser’s Edge database, creating mail merges, printing, proofing and tracking letters, scanning signed letters, printing envelopes, prepping them for mail, and updating the database.
- Tracks, exports and prepares monthly pledge reminders from the Raiser’s Edge database in a similar process to the gift acknowledgement letters.
- Provides backup to the Systems Information Specialist, in entering gifts into the Raiser’s Edge database and producing daily gift reports.
- Produces regular exported reports in the areas of donor recognition, special purpose fund activity, and prospect research.
- Updates Raiser’s Edge records, including address corrections, donor and prospect record updates, membership and donor recognition information, and data management.
- Assists in coordination of special purpose fund records, disbursement, donor reporting schedules and reconciliation with the Finance Office.
- Coordinates meetings and prepares all correspondence and reports for the Director as directed.
- Maintains records and files as directed.
- Serves as backup for general office duties.
- General administrative assistance to the Director.
- Other duties as assigned.
Education / Requirements:
- Bachelor’s Degree preferred.
- Proficient in Microsoft Office applications, especially Word and Excel.
- Strong verbal and written communication skills.
- General familiarity with nonprofit operations.
- Familiarity with any kind of database or constituent relationship management system, a plus.
- Familiarity with Raiser’s Edge and other Blackbaud products, a plus.
- Ability to communicate effectively and interact with donors, other external constituencies and all levels of the Health System community.
- Ability to work in a team environment.
- Solid grammar and proofreading skills.
- Excellent organizational skills.
