JOB SUMMARY
The Assistant Office Manager will play a crucial role in ensuring the smooth functioning of their assigned office and provide administrative support to the management team. The Assistant Office Manager is an entry-level position and will need to handle various tasks simultaneously. The Assistant Office Manager works closely with the Office Manager to maintain an organized and efficient work environment.
MAJOR DUTIES & RESPONSIBILITIES
Assist the Office Manager in coordinating and managing daily office operations.
Handle incoming calls, emails, and other correspondence, directing them to the appropriate person or department.
Greet visitors and clients, ensuring they have a positive experience and receive proper assistance.
Maintain office supplies inventory and place orders when necessary.
Coordinate and schedule meetings, appointments, and travel arrangements for the management team.
MAJOR DUTIES & RESPONSIBILITIES CONTINUED
Assist in the preparation of reports, presentations, and other documents.
Manage office filing systems and ensure the confidentiality of sensitive information.
Assist in organizing District events, including meetings, conferences, and social gatherings.
Collaborate with other departments to facilitate interdepartmental communication and cooperation.
Provide general administrative support as needed.
Performs other job-related duties as assigned.
EDUCATION
High school diploma or equivalent.
WORK EXPERIENCE
1-3 years proven experience in an administrative role, preferably in an office setting.
SKILL AND/OR REQUIRED LICENSING/CERTIFICATION
Excellent organizational and time management skills. Strong attention to detail and ability to prioritize tasks effectively. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Outstanding verbal and written communication skills. Ability to work independently and collaboratively in a team environment. Professional and courteous demeanor. Familiarity with basic office equipment and systems. Ability to adapt to changing priorities and handle multiple tasks simultaneously.
LEADERSHIP RESPONSIBILITIES
No supervisory or direct people management responsibilities. May provide occasional work guidance, technical advice, and training to staff.
WORK COMPLEXITY/INDEPENDENT JUDGMENT
Work and tasks are often straightforward, routine, structured and guided by established policies and procedures. Little, if any, independent judgment is required, outside of making basic choices in the selection and application of established methods. The job receives frequent, ongoing supervision.
