In this role, you will provide administrative support and assist with financial tasks using QuickBooks under the guidance and supervision of experienced professionals. Responsibilities:
Assist in performing basic financial tasks using QuickBooks, such as data entry, invoice creation, and payment processing.
Support the finance team in maintaining accurate and up-to-date financial records by entering data into QuickBooks and reconciling discrepancies.
Help with accounts payable and receivable activities, including monitoring and following up on outstanding payments and invoices.
Aid in preparing financial reports and documents, such as expense reports, purchase orders, and receipts.
Provide general administrative support, including managing calendars, scheduling appointments, answering phone calls, and responding to inquiries.
Assist in organizing and maintaining files, records, and documents in both physical and electronic formats.
Collaborate with team members to facilitate efficient workflow and effective communication within the organization.
Support office operations by managing supplies, ordering inventory, and ensuring the proper functioning of office equipment.
Assist in coordinating travel arrangements and accommodations for staff members when necessary.
Learn and apply company policies, procedures, and best practices to ensure compliance and maintain confidentiality.
Requirements:
High school diploma or equivalent; additional education or training in business administration is a plus.
Basic knowledge of QuickBooks software or a willingness to learn and become proficient in its use.
Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
Excellent communication skills, both verbal and written, with a professional and friendly demeanor.
Proficiency in using common office software (e.g., Microsoft Office Suite, Google Workspace).
Attention to detail and accuracy in data entry and financial record keeping.
Ability to work independently and collaboratively as part of a team.
Strong problem-solving skills and the ability to adapt to changing priorities.
Professionalism, integrity, and a commitment to maintaining confidentiality.
Prior experience in an administrative role or office environment is preferred but not required.
