JOB SUMMARY:
We are seeking an accomplished Executive Assistant to play a vital role in supporting the core operations of our organization. In this dynamic position, you will provide exceptional administrative assistance to the management team and other team members as directed. Your responsibilities will encompass a range of clerical tasks, receptionist duties, and project-based work, contributing to the seamless functioning of our operations. Your professional demeanor in both in-person and phone interactions will uphold our company's image.
DUTIES AND RESPONSIBILITIES:
- Serve as the first point of contact for our organization, professionally handling incoming calls and correspondence. Independently respond to inquiries when appropriate.
- Curate and manage materials and packets for diverse meetings across multiple departments.
- Attend various meetings and adeptly capture accurate minutes, ensuring efficient dissemination of information.
- Collaborate in finalizing meeting agendas by skillfully summarizing information. Edit and meticulously proofread agendas and other crucial documents.
- Maintain and organize database and spreadsheet files, ensuring easy access to vital information.
- Create, enhance, and refine PowerPoint presentations, translating complex concepts into clear visuals.
- Skillfully manage calendars for our executive leaders, optimizing their time and commitments.
- Uphold the highest standards of member/patient privacy, in strict accordance with HIPAA regulations.
- Play an active role in maintaining office cleanliness and ensuring efficient supplies management.

- Flexibly shift priorities under the guidance of Company leadership, consistently achieving positive outcomes.
- Articulate technical concepts with precision among team members and simplify business concepts for internal customers.

- Associate degree or equivalent experience required.
- A minimum of 2-3 years of relevant professional experience, including healthcare and project coordinator roles.
- Demonstrated excellence in organizational skills, ensuring efficient task execution.
- Exceptional verbal and written communication skills that convey clarity and professionalism.
- Strong analytical abilities for effective problem-solving.
- Proficiency in MS Office Applications with an ability to quickly adapt to department-specific software systems.
- Meticulous attention to detail, maintaining a high degree of accuracy.
