Senior Administrative Assistant
We are currently recruiting a Senior Administrative Assistant to support several Executive Directors in our Research & Development Division IT.
Our team brings the power of technology to reimagine and accelerate how we translate breakthrough biomedical research into meaningful new therapies and vaccines that improve and extend the lives of people worldwide. We are seeking a self-directed individual with unrelenting follow-up and follow-through skills to become a critical member of our team, enabling the organization to operate effectively to carry out this mission.
Primary responsibilities include, but are not limited to:
Extensive scheduling and calendar / meeting management support for executives; including understanding priorities of executives and balancing calendar accordingly, as well as looking proactively through calendars and identifying and communicating conflict.
Coordinating and scheduling complex travel arrangements including multi-leg domestic and international travel as well as processing of Visas/Passports
Completing complex/international travel expense reports in a timely fashion
Assisting with interview scheduling and on-boarding of new hires
Coordinating meetings and events, from both planning and scheduling perspectives, with multi time zone management
Encouraging self-sufficiency and training team members as appropriate
Completing matrixed work activities with other departmental assistants
Occasionally coordinating and/or assisting with special projects requiring advanced analytical ability, independent judgment, creativity and problem-solving skills
Position Qualifications:
Education Minimum Requirement:
Required Experience & Skills:
Minimum of 10 years Administrative Assistant experience, with at least 5 years Executive Administrative experience supporting senior executives (Sr. Director, Executive Director, VP or above)
Asks while understanding the project principles and technical skills related to own work assignments
Ability to take initiative, think proactively
Advanced secretarial/clerical abilities with a documented history of high performance in current and past positions
Ability to handle and prioritize many simultaneous assignments with little supervision
Extraordinary attention to detail, well organized, proactive and outstanding communication skills
Self-directed individual with unrelenting follow-up and follow through skills
Demonstrated ability to rapidly learn new skills, develop a nuanced understanding of critical stakeholders and priorities and to apply situational leadership, continuous improvement mindset
Ability to develop relationships and work well with others in demanding situations with a positive attitude
Coordination and performance of multiple tasks risks and potential challenges, and drive results
Preferred Experience & Skills
Advanced education or certifications (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
Advanced computer skills using MS Office Suite (Outlook, Word, Excel, Power Point, SharePoint, Teams etc)
SAP experience processing: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms, as well as the capability to run reports within SAP
Experience scheduling complex travel arrangements including multi-leg domestic and international travel
Experience with processing of Visas/Passports
Experience with event planning and coordination
Experience with financial and budget tasks
