Position Information
Arlington County's Department of Human Services (DHS) Aging and Disability Services Division (ADSD) has a unique opportunity for an Administrative Assistant to join a dynamic and innovative team of professionals representing core administrative responsibilities. This position will provide administrative support to all ADSD programs and report directly to the Quality Assurance and Administrative Management Supervisor. The Assistant serves a vital role in the support of the customer service experience and day-to-day operations using the CARES (Communication, Awareness, Responsiveness, Empowerment and Solutions) model of service delivery to the division and affiliated committees.
Specific Duties include:
Serving as the primary support for the Developmental Services (DS) program;
Assisting with managing the Division's Learning Management System (LMS) for employees;
Collecting and entering confidential data into various systems of record;
Conducting reviews to ensure accuracy and timeliness of reports;
Participating with the update of the Division's websites, SharePoint sites, marketing materials, and other outreach resources;
Providing support for meetings, audits, projects, and special events;
Supporting the recruitment process and onboarding/offboarding of employees, contractors, volunteers and interns;
Creating documents using MS Office Suite, Canva or similar for outreach and marketing materials; and
Managing mailroom functions which includes incoming/outgoing mail, printers, fax machines, and supplies.
The ideal candidate will be able to work collaboratively as part of a team as well as independently and maintain effective working relationships with employees of all levels; and should possess considerable experience performing administrative support practices, experience using the latest technology and software, customer service, experience working with a diverse workforce and have strong written and verbal communication skills. Self-motivation, attention to detail, organization, and project management skills are essential for success in this position.

Selection Criteria
Minimum: Education: Completion of the requirements for graduation from a standard senior high school or vocational school, a GED certificate, or the equivalent; plus
Experience: Some experience providing administrative support.
Substitution: Successful completion of college coursework from an accredited college or university may be substituted for the experience requirement.
Desirables: Preference may be given to candidates with experience in one or more of the following:
Providing support in a human services environment;
Entering, retrieving and collecting data, and running reports from electronic tracking systems in a human services setting;
Microsoft Office 365 (Excel, Word, Power Point); and/or
Canva or similar.
Special Requirements
A pre-hire background check will be made on all candidates who are selected for employment. It may include checks of the following: criminal record, driving record, education, professional licensure, and credit history. You may be required to sign a release authorizing the County to obtain your background information.
Employment restrictions: To ensure that dual relationships are avoided and that employees who are also clients do not relate to their service provider as co-professionals, employees will not be hired by the County to provide or support services to the team or program in which they are current clients:
You cannot concurrently receive behavioral health services from Arlington County Community Service Board (CSB) programs while employed in an Arlington County CSB program (exception Crisis Intervention services).
At least 24 months must have passed between receipt of CSB services from Arlington County and employment in an Arlington County CSB program.

The pay ranges listed above are effective June 30, 2024.
Work Hours: 8:00 a.m. to 5:00 p.m. Monday through Friday with options for a flexible work schedule and some telework based on business needs.
