POSITION SUMMARY:
The primary purpose of thisAdministrative Assistant position is to assist all who visit or contact theCollege Success Coach Office with exceptional customer service; to support theCollege success coaches in serving College students; and to contribute to therecruitment and retention of undergraduate students in the McAnulty College ofLiberal Arts.
DUTIES ANDRESPONSIBILITIES:
Creates excellent first-impressions forthose who visit or contact the McAnulty College Student Success Coach Office.
Creates a positive experiencefor students by assisting and directing any of the approximately 1100undergraduate students in the College to appropriate resources with exceptionalcustomer service
Answer multiple phone lines(including calls forwarded from the University switchboard), direct inquiries,and provide accurate informatiom.
Greets and assists visitors,prospective students, parents, faculty, and staff in a warm and professionalmanner.
Ensures that all interactionswith those who contact the College Success Coach Office reflect the DuquesneUniversity Mission and leave a lasting impression.
Provides coverage for theDean’s office as needed.
Various special projects andother duties, as necessary.
Supports McAnulty CollegeStudent Success Coaches.
Updates student records andretrieve information in Ellucian Banner.
Supports student successcoaches in the College by helping students with basic registration andscheduling needs
Creates lists and reportsusing Excel and/or COGNOS.
Creates help tickets foroffice technology problems and use service portal to address maintenance needsfor copier and other equipment.
Monitors and takes minordigital progress sheets each semester.
Process internal transferapplications to the McAnulty College.
Updates major/minordeclarations.
Facilitates online languageplacement exam.
Various special projects andother duties, as necessary.
Prepares for and attendUniversity events.
Attends, and assists withpreparation for McAnulty College Orientation events, December Commencement, andMay Commencement.
Attend recruitment andretention events including DUQ Days, Admitted Student Days, the FAST program,and other University events, some of which will occur on evenings or weekends
Completes otherduties as assigned.
REQUIREMENTS:
Minimum qualifications:
Associate’s Degree in the Humanities orSocial Sciences from an accredited institution.
Multiple years of experiencein customer-service positions may substitute for Associate’s Degree.
This position requires acandidate with experience handling disparate administrative tasks.
This position requiresexcellent written and spoken interpersonal communication skills.
Preferred qualifications:
Bachelor’s Degree in the Humanities orSocial Sciences from an accredited institution.
Alternately, the successful candidate may possess any equivalent combination ofexperience and training, which provides the knowledge, skills and abilitiesrequired to perform the essential job functions. This includes, but is notlimited to, the following:
Excellent written and spokeninterpersonal communication skills;
Ability to function with abroad range of administrative software;
Willingness to ensure thatthe Duquesne University Mission is reflected in every College Success CoachOffice visitor experience.
